Job Qualifications:- Education: Graduate of any business course, IT or medical-allied course.
- Experience: At least 2-3 years of working experience in a healthcare environment, such as in a hospital, clinic, or medical office. Experience in the hospitality or customer service industry is also considered.
- Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients and/or patients. Strong interpersonal skills to provide compassionate and empathetic service to patients and their families.
- Technical Skills: Ability to manage multiple tasks, prioritize effectively, and maintain a high level of organization in a fast-paced environment. Keen eye for detail and skilled in computers and data.
- Medical Knowledge: Familiarity with medical terminology and healthcare processes is often required or preferred.
- Answer phone calls, schedule reservations, and manage cancellations while providing patient service and ensuring patient satisfaction.
- Coordinate with the Call Center team to manage appointments of patients for consultation, and other procedures to be done with the patient in support of the operational requirement.
- Assist in making all room reservations and ensure maximum room revenue for all, and ensure all reservation details are updated on all computers within required operating procedures.
- Check patients in for their appointments and out following their appointments.
- Maintain and keep track of the doctors' monthly schedule, ensuring that every patient is being accommodated.
- Coordinate confirmation and transfer/cancellation of appointments with relevant departments on a daily basis.
- Work closely with other relevant departments to improve clinical procedures to ensure smooth flow of the daily operations.
- Improve templates on patient reminders and general preparations, and revisit all other communication materials for external consumption.
- Monitor encoding of these to all required systems.
- Report number of appointments to management, marketing, and sales department.
- Identify and resolve operational flow issues to reduce customer waiting time and increase customer satisfaction.
- Receive and address client concerns/complaints on clinic services, including services offered, patient scheduling, and possible refund requests and/or any related matter to the operations.
- Accurately input required data into various company systems for tracking and retention of customer records.
- Execute exemplary customer service to drive patient satisfaction and loyalty by assisting them and ensuring their satisfaction before, during, and after their visit to our clinic.
- Ensure Data Protection Act guidelines are followed and ensure all information concerning patients is treated in the strictest confidence.
- Perform other tasks assigned by management relevant to the job position.
