Recruitment Admin Assistant

The Recruitment Admin is a vital role ensuring smooth recruitment for TA positions. You'll orchestrate final interview scheduling, manage post-interview processes like results communication and offer signing. You'll meticulously manage new hire data across multiple trackers and ensure its accuracy in Zoho. Additionally, you'll cultivate positive relationships with interviewers and successful candidates. This role requires excellent communication, organization, and an eye for detail.
Task and Responsibilities:
Final Interview Scheduling and Coordination: Collaborate with Account POC Recruiters to schedule FIs with hiring managers.Coordinate with interviewers to ensure their availability for the entire week.Streamline the scheduling process by obtaining Ops Interview Availability Schedule every Monday.Post-Final Interview Management: Endorse FI results to relevant hiring managers for timely decision-making.Communicate interview outcomes to candidates professionally and clearly.Follow up with FI passers on the completion of pre-employment requirements and Background Verification (BGV) processes.Guide successful candidates through the job offer signing process, ensuring all documentation is completed accurately.New Hire Data Management: Maintain accurate and up-to-date records of new hires in the New Hires Demographics Tracker (FM-REC-TAT-03) and Cebu Unified Hires and Class Rosters.Track new hire attendance to ensure compliance and accurate records.Update the FI Tracker with interview outcomes and relevant details.Cross-check demographics in the tracker with HC requirements in Zoho. Address any discrepancies and update Zoho accordingly.Reflect accurate hiring numbers in the Unified TA Reports tracker.Additional Responsibilities: Facilitate account-specific assessments by coordinating with account managers and candidates.Ensure timely updates for any changes related to Zoho Recruit (ZR) movements after the FI.Associate new hires with their respective Objectives and Key Results (OBRs) in ZR and Zoho People (ZP).Handle company-related credential creation and management.Be prepared to address additional tasks that may arise.Maintaining Relationships: Cultivate positive relationships with Key Interviewers (KIPs) and successful candidates through regular communication.RDP , PER and BGC: Hence, this role falls under Recruitment Admin work. Although you will be assigned specific tasks, depending on bandwidth, you will also be required to assist with administrative tasks related to RDP, PER, and BGC. Your flexibility is highly valuable in adapting to the ever-changing landscape and demands that Talent Acquisition needs to meet on a daily basis.
