GENERAL PURPOSE OF THE JOB:

The Front Desk Associate is responsible for delivering efficient customer service to company clients, visitors, and other stakeholders of PHC by providing guest services, and assistance, and attending to queries and concerns. The incumbent also provides office administrative support to the Immediate Superior when needs arises.

DUTIES AND RESPONSIBILITIES

Delivers excellent customer service experience to provide a long-lasting impression to the company by accommodating guests and visitors to wait in the holding area and attending to their needs and concerns immediately; Answers phone calls and transfers them to the proper recipients;Takes charge of handling the receiving and distribution of incoming mail, parcels, billings, invoices, documents, correspondences, packages, and other related deliveries;Helps in implementing the health and security protocol of the company by enforcing visitor management policies and procedures to the cleanliness and orderliness of the reception area;Coordinates with the building's main reception area to process the gate pass and work permits of suppliers, distributors, and/or clients;Organizes and maintains the records of incoming and outgoing clients and guests regarding the transactions/purposes of their visit to the company;Assists in performing office-related activities/tasks when needed;Performs other duties as may be assigned by the Immediate Superior. Educational Background

Must have at least a Bachelor's or College Degree, preferably in Office Administration, Management, or other related fields. Professional BackgroundMinimum of one year working experience in performing a receptionist, client services, and office support role in a real estate or property management industry.Must be knowledgeable in using different applications of Microsoft Office Suite (Word, Excel, PowerPoint); Knowledge RequirementsMust be knowledgeable of standard operating procedures in accommodating guests; andMust be knowledgeable in scheduling, creating databases, and performing data entry; Skills RequirementsMust have excellent oral and written communication skills;Must have effective presentation skills;Must have strong analytical and problem-solving abilities;Must have a strong understanding of customer service principles and best practices;Must have good interpersonal skills to build and maintain relationships with guests, clients, and stakeholders; andMust have good time management and organization skills. Ability RequirementsMust be able to work under pressure and meet deadlines;Must be able to perform multiple tasks; andMust have the ability to make informed decisions and manage resources efficiently.
