• Proven experience as an Accountant or Senior Bookkeeper with a minimum of 3-4 years experience in a similar role

• 3+ years experience working as accountant or bookkeeper with Australian small to medium businesses including use of Xero and BAS preparation

• Training/Certification in Xero is a plus

• Accounting qualification (degree preferred)

• Intermediate to advanced Excel

• Australian Payroll experience required

• Experience in MS Office suite (excel, word, outlook)

• A confident communicator with the ability to collaborate effectively with cross functional teams

RESPONSIBILITIES

Finance Responsibilities

This role is responsible for all aspects of accounts leading to an accurate P&L and B/S, management of cashflow (with the support of key team members) and compliance, including:

• Record financial transactions into Xero ensuring accuracy and completeness of data

• Invoicing (Students, Universities, Corporates, Host Fees, Agents)

• Accounts Receivable (as above)
o Payment receipt allocations
o Student payment plan reconciliations
o Debtor collections
o Student refunds
o Paya Plane review (bounced pymts)
o Accounts Payable

• Bank reconciliation

• Corporate Amex reconciliation

• Management of payment systems
o Paypa Plane
o Stripe
o GoCardless
o PayPal

• Monthly Accounts
o Balance sheet reconciliations
o P&L reporting
o BAS / IAS reporting
o Commission Calculations (Hosts, B2B, B2E & B2C)
o Sales reconciliation

• Annual
o Payroll Tax reconciliation
o Insurances
o Workers Compensation Future responsibilities (depending on capability and capacity) may include:
o Payroll (monthly)
o Process improvement
o Involvement in annual budgeting & forecasting
o Cash flow forecasting
o Managing an assistant (with future growth)

Student Administration Responsibilities

Student Admissions:

• Coordination of the enrolment process of all students for B2E and B2C internships (per checklist)

• Management of the email inbox

• Review of enrolment documents to ensure all information is captured & compliant (e.g; USI & Visa)

• Preparing all student agreements via HelloSign / JobAdder (for stages 1 & 2)

• Setting up student payment plan agreement via Paypa Plane

• Chasing up all unsigned agreements, payment plans and missing enrolment info to ensure all systems are up to date

• Liaising with Sales and Placements team members about confirmed enrolments

• Answering general enquiries from students related to their enrolment information and payment queries

• Coordinating any withdrawals and deferrals of students (communication to team & update JobAdder)

• Checking Paypa Plane for any bounced payments and follow up to resolve issues

• Coordinating B2E enrolment process with Education Partnerships Manager including issuing welcome e-mail with self-enrolment link to students

• Chasing up late enrolments

• Confirming student enrolment on JobAdder (incl: status changes and any required notes & emails)

• Liaising with Finance on payments & compliance issues

• Maintain the integrity of the student data & statuses in JobAdder Student Assessments & Graduations

• Set up eGrad/Abara logins and assigning courses

• Relevant communication to students relating to their assessment

• Coordinating the graduation process including liaising with Assessor

• Check the "Student Assessment Agreement" document has been signed and submitted

• Liaise with Assessor regarding completed assessments and marks

• Check & review the "Mentor Sign off" document has been completed & submitted.

• Answering general enquiries from students related to their course assessments, eGrad system

• Issuing Graduation Certificates upon course completion

• Closing student in JobAdder and deactivate in eGrad upon graduation Other – Systems, compliance & projects

• Monthly reporting of enrolled students in AVETMISS system

• Maintain the integrity of the learning management system (LMS) – Abara/eGrad

• Monthly audit of JobAdder statuses for all students (Monthly)

• Ongoing maintenance and updating of student email templates in JobAdder

• Involvement in ad-hoc projects as required (including process & system improvements)
