What this job involves:

People Management

  • Manage and coach the team responsible for the Sales office for client as well as the Contingent Worker Sites running 24/7 operations.
  • Develop and sustain a high-quality, well-motivated team.
  • Strong people skill, ensure high staff morale, trust, and work ethics.
  • Build and maintain an environment that supports teamwork, co-operation, and performance excellence within the team.
  • Mentor and enable the training and development of team members.

Client/Stakeholder Management

  • Be the point of contact for Facilities Management services in the Client site - day to day Client liaison and relationship management
  • Engage users in the office and deliver the client's goals on Workplace Experience and Sustainability programs.
  • Ensure client satisfaction through excellent facilities management planning, advice, and support.
  • Compile the appropriate monthly/quarterly/annual reporting where applicable.
  • Manage the FM operation team across a range of facilities management issues, including planning, operations, and maintenance service delivery.
  • Prepare and manage operational budgets and savings for the Client Sites.
  • Regularly meet with Business Unit Stakeholders.
  • Coordinate facilities-related matters, including escalations, project liaison, events, and landlord related issues.

Procurement and Vendor Management

  • Conduct regular contractor meetings and review suppliers' performance.
  • Ensure vendors are well-managed, delivering services on time and within budget.
  • Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as best practices.
  • Plan and manage all contracts to ensure they are professionally delivered at the right costs for the client.
  • Monitor contract expiry and initiate re-procurement if needed.
  • Complete vendor management checklists as required.

Finance Management

  • Liaise with client vendors and assist with enrollment in the purchasing system.
  • Work closely with the Client Account Payable team and client vendors to ensure no outstanding amounts or payment issues.
  • Oversee the administration of the financial management system and issuing of Purchase Orders to vendors.
  • Prepare the annual budget report and monthly variance report.
  • Track savings and variances in all monthly finance reporting.

Health & Safety Management

  • Attend emergency situations and prepare incident reports.
  • Ensure escalation procedures and incident reporting procedures are implemented and maintained.
  • Adhere to JLL and client's code of conduct, ensuring compliance with the firms' guidelines, procedures, and strategies.
  • Lead the development of guidelines and strategies to ensure compliance with business conduct.
  • Conduct annual risk assessments and maintain regular reporting of identified risks.

Site Operations

  • Lead planning and execution of minor moves/restacks and ad-hoc projects.
  • Develop and administer planned preventative maintenance programs, coordinate all maintenance activities, and ensure all unscheduled maintenance is promptly actioned.
  • Manage all faults and queries raised through the helpdesk.
  • Ensure attendance to all reactive maintenance, downtime, and breakdowns according to agreed SLA and escalate as appropriate.
  • Liaise with the landlord on matters relating to the premises, including fire evacuation training/drills.
  • Develop and maintain Site Field Manuals/playbook.
  • Lead the management of shipping services, including vendor liaison.
  • Coordinate the Ergo assessment program.

About you:

  • 8 plus years' experience in BPO, Engineering/Facility Management
  • Bachelor's degree in hospitality, Civil Engineering, or relevant education in facilities management business.
  • Fluent in English and operational level of business English, spoken and written.
  • Ability to see things from the client's standpoint, listen, observe to anticipate client's needs, and work proactively.
  • Previous experience in facilities management or critical environment management is desirable.
