LEGAL ADMIN ASSISTANT
I. QUALIFICATIONS
A College Degree Holder, at least 1 - 2 years work experience is an advantage, ideal if work experience was obtained from a law firm with corporate secretarial work, processing of business permits, post registration requirements, dealing with government agencies, and other office administration related work.Fresh Graduates or with less than 1 year work experience are also welcome to apply.Good typing skills which includes speed, completeness and accuracy in typing and data entry, with keen attention to details. The assistant shall also be assigned on immigration tasks relating to working visa and employment permitsComputer literate and possesses a high working knowledge of MS Office Applications (MS Word, MS Excel, MS PowerPoint, MS Outlook) and able to research extensively using the internet.
II. SCOPE OF DUTIES
A. Corporate Secretarial and Post-registration requirements
Draft minutes of meeting, resolutions, notice /waiver of meetings, stock and transfer book, share certificates, deeds of assignments, general information sheet and its filing, secretary’s certificates and other similar documents.Draft formation of companies, incorporation documents, process of name reservation, amendments to articles of association/by-laws, prepare documents for submission of documents to SEC.Prepare documents, fill out forms and coordinate with the company for filing the business permit and post-registration requirements.
B. Document Handling
Perform office tasks for documentation, safekeeping, storing, maintaining, tagging and updating of office files (digital and hard copy) in a highly organized manner in accordance to a standard operating procedure.Observe policies to secure the confidentiality and integrity of the documents.
C. Admin Work
Perform basic office and admin tasks and duties such as document editing/proofreading.Prepare correspondences, reports, documentation and/or other written materials.Do research, prepare memo and reports.
D. Liaison with Government Agencies and Regulatory Bodies
Perform field work such as filings of reports and documents with government agencies and/or regulatory bodiesLiaison with related agencies to process applications and/or renewals of licenses and permits.
E. Immigration matters
Research on requirements, prepare forms, process relevant visa, workpermit and immigration documents, do liaison work, do liaison work with relevant government agencies.
F. Other tasks as may be assigned by the Legal Department.
Note: Salary package will depend on qualifications and work experience of the applicant and subject to further assessment and approval by the management. The salary range indicated in this advertisement is merely intended for job posting and not deemed as the final approved offer.
