I. MAJOR RESPONSIBILTIES AND DUTIES

 

Administrative SupportProvides administrative and logistical support to the Manager and Assistant Manager in managing Facility Management asset.Monitors equipment maintenance programs according to scheduled given and uploaded in Enterprise Asset Management. Coordinates, updates, and maintains tracking database for new and existing Facility Management assets.Processes disposal of non-confirming equipment and scrap items of Facility Management.Conducts above-mentioned responsibilities in adherence to the company's vision and within the quality management principles.Provides necessary administrative support to the department and ensures that the office is operated in a professional manner. Develops forms and records to document all planning and scheduling activities. 

 

Implementation of Policies and ProceduresMaintains suggestion system by directing and controlling administrative technical aspects in accordance with management directives. Maintains continuity of work operations by documenting and communicating needed actions to management, discovering irregularities. Accomplishes department and organization mission by completing related results as needed.

 

Staff Relationship and CoachingDemonstrates leadership, responsiveness and creativity in finding solutions for service delivery.Organizes employee appreciation and social events.Demonstrates professional demeanor, appearance and attitude within the organization. 

 

II. JOB SPECIFICATIONS

 

Educational Requirement: 

Bachelors Degree of any 4 year courseSecondary School Certificate or equivalent professional training

 

Experience Requirement:

3-4 years working in administration and asset management

 

Skills and Attributes: 

Computer literate in Microsoft Office ApplicationsKnowledgeable in Enterprise Asset Management System Good phone etiquette and customer service orientedExcellent interpersonal skillsExcellent presentation skills are preferred to deal effectively with all incoming calls and requests from the managementIndependent and able to work with minimal supervisionAbility to work under pressure and to meet given deadlinesAbility to work on flexible shift, weekends, and holidays on rotational basisAbility to work overtime when needed Good health, physically fit and excellent personal grooming and presentation
