Job Overview:
We are seeking a motivated and confident
Executive Assistant/ Project Manager to be part of one of our Australian clients in the Construction industry.
Job Responsibilities:
CRM management:
Calendar management:
Manage the CEO’s calendar, appointments, and meetings, ensuring efficient use of time and prioritization of tasks.
Coordinate and schedule meetings, both internally and externally, considering multiple time zones and stakeholders' availability.
Prepare meeting agendas, collate necessary documents, and ensure you are well-prepared for meetings.
Task prioritisation - MUST COMPLETE TODAY, DEADLINE APPROACHING & WHEN POSSIBLE.
Communication and Correspondence:
Handle incoming and outgoing communications on the CEO’s behalf, including emails, phone calls, and other forms of correspondence.
Diversion of phone during 'block out period' and messages to be triaged and supplied to the task list.
Draft, proofread, and edit business documents, reports and presentations for the CEO.
Maintain effective communication channels within the business group, ensuring timely dissemination of information to relevant stakeholders
Project management:
Assist in the preparation and coordination of board meetings, investor presentations, and other strategic initiatives.
Undertake special projects, assignments, and research tasks as delegated by the CEO
Accounting (Junior) level experience:
Handle ad-hoc administrative tasks, such as expense management through Xero, invoice processing, and office supply management.
Requirements Bachelor's degree in Business Administration, or related field preferred
At least two (2) years experience in the Australian industry
Proven experience as an executive assistant or in a similar role, supporting C-level executives/GM level
Strong organisational and time management skills, with the ability to multitask and prioritise effectively in a fast-paced environment
Excellent verbal and written communication skills, with exceptional attention to detail
Proficiency in using office productivity tools, such as Microsoft Office Suite and calendar management software
Discretion and ability to handle confidential information with utmost professionalism
Strong interpersonal skills and the ability to build relationships with diverse stakeholders
Experience with Buildxact CRM software preferred
Experience with Xero
