JOB SUMMARY

Reports directly to the Training & Employee Engagement Specialist. The creation of HR Support Staff position aims provide support to 2 HR facets of HR Team Specializations namely – Training & Employee Engagement and Corporate Benefits The HR Support Staff position is generally responsible in providing assistance in HR Training and Engagement , Employee Corporate Benefits and Records Management related processes and activities . Furthermore, it is also expected to perform other duties as assigned to ensure accurate records , smooth cascade, roll out and implementation of the Human Resources Department programs and operations contributing to operational excellence of the whole HR team and the organization.

 

DUTIES AND RESPONSIBILITIES

I. Training and Engagement

Support the development and implementation of HR initiatives relating to Training and EngagementProvides administrative support to HR TS in all Training and Engagement related processes ( New Hire Onboarding, Issuance of Training Certificates , Engagement Publication Materials, Employee Recognition etc )Assist in the development , research and sourcing of Training and Development programs / activities / providers.Assists HR TS in Employee Performance Management Processes by updating related Company PagesAssists in conducting Employee follow ups for Training and Engagement related Requirements and updating the Training and Engagement Requirements Tracker.Coordinate Orientation and Training sessions for new employees and provide assistance in New Hire Orientation
 Assists with planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, and employee celebrations.

II. Corporate Benefits

Assists in onboarding of new employee/trainee by providing orientation information forms and discussion of Training Contract for Aesthetic Nurses, provides checklist of requirements (for both branch and office based new employees) and also on monitoring of those said requirements due for submission. Release branch employee’s uniform during deployment. Secure signed acknowledgement and payroll notice form from the new employee.Assists HR Ben in monitoring and filing signed AR & PN form.Assists in updating Free Uniform Deduction Summary for clearance purposes.Assists in tracking of contracts sent to branch.Assists HR Ben in maintaining general 201 file, professional records of all employees in google drive and notion (contracts, valid personal identification requirements, etc).Assists in communicating with the employees, own department and SCM the issuance and delivery of uniform and other items to the branch.Assists HR Ben by doing physical count of inventory (Wink & Simply Skin Uniforms) every end of the month.

III. Additional HR Functions

Monthly preparation of Attendance-Tardiness ReportSupport the daily operations of HR teamAssists in the preparation and overseeing of Company Activities and Events.Assists in maintaining employee records in platforms authorized by the companySpecial Project - successfully carry out an individually assigned tasks, or to participate on a department or company-wide project with a specific task to perform.

 

QUALIFICATION REQUIREMENTS / COMPETENCIES

At east 1 year of relevant experience as HR Staff focused on administrative work or support given to Specialist, Officer, Supervisor or Manager of the department. Above average communication skillsOozing interpersonal skills needed in coordination, collaboration with employeesAverage written skills written and verbal communication skillsProficient or can be trained in Microsoft Office (Outlook, Word, Excel, and Power?Proficient or can be trained in HRIS, and other web-based platforms
