Overall Purpose:

Primarily responsible for providing a financial and administrative support to contribute to the effective and efficient project and program implementation

Responsibilities:

Finance Functions: Maintains all financial records by posting real-time transactions to Quick books; Petty cash custodian: responsible and accountable for the petty cash.Prepares the petty cash liquidation and replenishment report.Ensures that expenses are in accordance with Samdhana financial guidelines; Prepares a monthly aging report of accounts. Assist in the filing of vouchers and other financial documents; Assist project in complementary logistical preparations related to their project implementation, especially in procurements; Supports the project team in processing financial transactions - e.g. budget requests, liquidations, reports and others, ensuring timely submission and processing there of; Assist in monitoring project expenses, and provide prompt feedback on budget and finance concerns to the Project Coordinator, as needed; Assist the Project Coordinator in monitoring the periodic progress of project budget and variances; Performs preparatory work for project budget revisions;

Administrative Functions:

Asset custodian: conduct an annual physical inventory; Ensure a conducive working atmosphere, including implementing office guidelines to maintain a clean, safe and cost-efficient office, in coordination with all staff; Maintain an orderly filing system for both hard and soft copies of project documents, reports, pictures, and other documents, as well as primary backup thereof; Prepare monthly work plan, monthly accomplishment report and back to office reports (BTORs) as needed; Participate and assist in project meetings, assessment/ evaluation and other related activities that are necessary for the successful delivery of the project outputs; Adhere to HR, Finance and Administrative policies and procedures; and Perform other tasks that maybe assigned by the line manager Education,

Knowledge and Skills:

University graduate degree or equivalent working experience preferably with 4 or more years of progressive grants making experience in a non-profit organization. Having knowledge on business/project administration; Ability to communicate effectively with persons on all levels both inside and outside the organization; Ability to work with a team and other people in the organization to ensure timely and accurate delivery of reports; Excellent in use of computer software such as MS Word, Excel and PowerPoint and other relevant software/applications;Working Attitudes and Habits Fluency in English is a must (written and oral); Ability to work effectively in an atmosphere of multiple projects, shifting priorities, and deadline pressure; Pro-active and responsive in nature; Able to work in tight schedule, high pressure working environment; Able to work in a team or independently with minimum supervision; Self-motivated and able to follow through to end of assignments while meeting goals and deadlines; Can work effectively under pressure and has positive attitude; Accurate, organized, analytical, attention to detail and can work with minimum supervision; Has the patience, honesty and willingness to listen and show respect for colleagues; Willing to extend duty hours to meet deadline/assigned tasks. Demonstrated ability to take initiative and work independently; Willing to travel, as needed
