POSITION OVERVIEW

The Data Encoder Construction Based will provide support across projects and business operations by managing data entry, documentation control, compliance registers, and general administrative duties. This role is integral in maintaining accuracy of project and business records, ensuring compliance, and supporting site and office teams.

The Data Encoder Construction Based is a shared resource across the Project Management team. All data entry requirements will be emailed to a dedicated client Data Entry email account.

As a minimum, the email must include:

  • Project name
  • Desired filing location
  • A brief description of the work required (e.g., "Please transfer test data to typed test sheet, save in Project X under QA, Level 7 Testing.")

Over time, through training, the expectation is that much of the information will simply be scanned to the email account. The Data Encoder Construction Based will develop the knowledge and skill set to determine what needs to be completed and where the information is to be filed.

In cases where instructions are unclear, the Construction Administrator will act as the point of contact to provide clarification, guidance, and training.

KEY RESPONSIBILITES

Data Entry & Document Management

  • Input delivery dockets from site into Jobpac.
  • File QA documentation and test sheet data.
  • Transfer handwritten documentation into appropriate soft copy formats or software, where required.
  • Prepare, file, and update maintenance manuals, as-builts, mark-ups, switchboard schedules, switchboard legends, and fire rating schedules.
  • Manage document control: upload updated drawings to SharePoint, maintain unit pack drawings, and general document filing.
  • File prestart records, toolbox records, SWMS reviews, and client safety documentation.
  • File Hammertech weekly paperwork.
  • Develop technical data schedules and submissions from information provided by the PM or Engineer.
  • Maintain delivery records and technical data schedules.

Compliance & HSEQ

  • Maintain registers: test tag, RCD checks, plant/equipment, ladders, tools, calibrations, emergency lighting, and SDS updates.

Administration & HR Support

  • File new starter paperwork.
  • Enter staff into the staff planner from daily sign-in forms.
  • Process uniform orders and reimbursements (e.g., boot receipts).

Site & Project Support

  • Support take-offs and mark-ups for project teams.

ESSENTIAL SKILLS AND QUALIFICATIONS

  • High attention to detail and accuracy in data entry.
  • Strong organisational and time management skills.
  • Proficient in Microsoft Office Suite (O365 and SharePoint).
  • Experience with managing document control systems software (Jobpac and HammerTech).
  • Ability to follow processes and maintain compliance records.
  • Good communication skills to liaise with site and office staff.
  • Ability to work flexibly across multiple projects and teams.
