The Sales Coordinator ensures the smooth flow of the sales process by supporting the sales team, managing client communications, tracking project progress, and coordinating between departments. The role is focused on driving measurable sales support efficiency, project turnaround speed, and client satisfaction, contributing directly to revenue growth and brand reputation.

Key Responsibilities

  • Prepare accurate quotations, proposals, and contracts based on sales inquiries.
  • Maintain and update the sales pipeline in CRM.
  • KPI:
  • 95% accuracy rate in prepared quotes & proposals.
  • Update CRM within 24 hours of new lead or status change.
  • Turnaround time for quotations: within 2 working days.

2. Client Communication & Follow-Ups

  • Serve as the primary point of contact for project updates and minor client concerns.
  • Schedule and confirm client meetings, site surveys, and approvals.
  • KPI:
  • Respond to client inquiries within 4 business hours.
  • Minimum 90% client satisfaction score on feedback surveys.
  • Follow-up on 100% of outstanding quotations within agreed timeline.

3. Project & Production Coordination

  • Liaise with design, production, and installation teams to meet timelines and specifications.
  • Track permits, materials, and fabrication schedules.
  • KPI:
  • 95% of projects delivered on or before the agreed deadline.
  • Less than 5% rework rate due to sales-related coordination errors.
  • 100% timely submission of permit and documentation requirements.

4. Reporting & Sales Performance Tracking

  • Generate weekly and monthly sales performance reports.
  • Track conversion rates from inquiry to closed project.
  • KPI:
  • Submit weekly sales reports on time (100%).
  • Maintain an inquiry-to-sale conversion rate of at least 30%.
  • Identify and report at least 3 process improvement suggestions per quarter.
