Data Encoder and Analyst

Job Objective:

  • Process and ensure accurate sales invoicing for National Key Accounts.
  • Coordinate with the Logistics team regarding deliveries.
  • Generate and manage sales orders via phone for existing accounts (drugstores, convenience stores, etc.).
  • Manage the inventory of sales materials and promotional items, ensuring they are updated and readily available for sales presentations and client meetings.
  • Oversee the organization and archiving of sales contracts and agreements, ensuring they are properly recorded, filed, and easily retrievable for compliance and reference purposes.

Job Description:

  • Prepare and process sales invoices for National Key Accounts.
  • Coordinate with the Logistics team to ensure timely and accurate deliveries.
  • Handle sales orders from existing clients through phone calls and online platforms.
  • Monitor and maintain stock of sales and promotional materials.
  • Maintain an organized filing system for contracts, agreements, and other sales-related documents.
  • Support the sales and accounting teams in data management, reporting, and other administrative functions.

Educational Background:

  • Must be a College Graduate of Marketing, Accounting, or Finance (or related field).

Experience Required:

  • 1–2 years of related experience in sales operations, data encoding, or administrative support.

Skills:

  • Proficient in Microsoft Excel (data encoding, formulas, and reporting).
  • Knowledgeable in downloading and converting portal sales data to sales invoices.
  • Strong communication, organizational, and interpersonal skills.

Ideal Personality / Behavioral Competencies:

  • Personable and able to work well with others, as this role involves direct coordination with clients and internal teams.
  • Detail-oriented and capable of multitasking efficiently.
  • Communicates clearly, especially when addressing account issues or customer concerns.
