DUTIES AND RESPONSIBILITIES
Before Shift
- Check cash count, read, and receive endorsements from the previous shift.
- Check the total number of arrivals and departures.
During Shift
- Ensure being responsive to the needs of guests and they need to communicate these needs to other departments like housekeeping or maintenance.
- Must coordinate with Security, Housekeeping, and Maintenance on which guests should be staying in the hotel and how many rooms are available for walk-in.
- Answer all telephone, mobile phone, and Facebook inquiries about the hotel such as reservations, room inquiries, and events.
- Update Room Status report efficiently which includes the details of the arrivals, stayovers, and departures that are given to Housekeeping Room Attendants.
- Make reservations based on provided information by the guest over the phone, mobile, and Facebook.
- Give the breakfast list to F&B every day before 7 am.
- Ensure that payment is collected upon check-in and posted in the guest's folio. Furthermore, documents such as valid IDs, triage certificates, vaccination cards, and QR codes (VISITA for tourists and HDF for front liners) are collected prior to check-in.
- Print the registration card and ensure that it is properly written with complete information.
- Register guests during check-in.
- Explain to the guest briefly about safety health protocols, time allotted for breakfast, hotel policies, Cafe operational hours, and the number to call to contact Front Desk.
- Issue Official Receipts to guests who are paying for both their room accommodation and meals.
- Post Miscellaneous Voucher to a hotel management system for other charges.
After Shift
- The guest service associate is responsible to cash up at the end of the shift and balancing payments.
- Drop total cash during the respective shift and reports must be tallied with the postings in the system.
- Endorse to next shift important Service Recovery Logs for follow-up.
REQUIREMENTS
- Graduated in Hotel & Restaurant Management, Travel Management, Tourism, Hospitality, or any related field
- Excellent customer service skills
- Able to multitask and respond to rapid change
- Basic knowledge of MS Office
- Superb written and verbal communication skills.
- Able to work nights and weekends
- Critical thinker and problem-solving skills
- Working experience in the related field is an asset
