Reservation Specialist

POSITION SUMMARY
The Reservations Specialists respond to communications from guests, travel agents, and referral networks concerning reservations arriving by mail, telephone, mobile phone through a reservation system. Creates and maintains reservation records, prepares letters of confirmation and promptly processes any cancellations and modifications or resolution may need for one booking.
DUTIES AND RESPONSIBILITIES
- Applies working knowledge of the entire Reservations Procedure according to the requirements and standards of the company.
- Performs daily tasks of the Reservations Specialist based on job description.
- Assists the Reservations Supervisor and complies with the needed tasks of the Room Reservations Department.
- Responsible for handling reservations tasks according to standards.
- Keeps updated with the promos and OTA discounts implemented by each hotel branch.
- Coordinates with the Reservations Supervisor and branch managers for closed-out dates and checks extranet daily for modifications.
- Allocates room allotment as confirmed by the branch's availability with the desired existing and applicable promos through the guidance and approval of the Reservations Supervisor and Revenue Reservations Manager.
- Updates hotel rates of each branch for OTAs, if there are any changes / revisions.
- Sends out email confirmation forms or email booking confirmation to the Hotel Front desk once a reservation is made.
- Complies with the reservations daily tasks accurately and accordingly.
- Promptly and accurately records Reservations Report and submits it to the Reservations Supervisor for checking.
- Accurately records all online comments and feedback for review and assessment of the management.
- Monitors and records all future reservations of OTAs, website, walk-in, group and phone reservations for the upcoming months.
- Checks incoming emails, requests and complies with the necessary outputs the reservations team expects.
- Communicates reservation information to the front desk.
- Helps develop room revenue and occupancy forecasts.
- Knows the selling status, rates, and benefits of all package plans.
- Prepares letters of confirmation.
- To be aware of all front office procedures and processes.
- Handles daily correspondence. Responds to inquiries and makes reservations as needed.
- Submits Weekly, Month and Quarterly Room Reservations Report to the Reservations Supervisor for reporting and reference purposes.
- Attends Room Reservations Department meetings and other department meetings.
- Establishes and maintains effective employee relations.
COMPETENCIES
- Ability to communicate fluently in English and Tagalog
- Ability to work under pressure
- Flexibility to respond to a range of different work situations
- Strong apprehension on principles of customer service
- Excellent organizational skills and attention to detail
- Skilled in the use of Microsoft Office
EDUCATION
- Bachelor's degree in Hospitality/Tourism/Hotel Management or related field.
EXPERIENCE
- At least one (1) year of experience working in sales of public relations, preferably in the hospitality or travel industries or in the same capacity.
