Job Summary:

We are looking for a highly organized and detail-oriented Assistant Team Director to support our operations. This role is ideal for a new graduate looking to gain experience in administrative coordination, event planning, and client relations. The Assistant Team Director will be responsible for managing logistics for teams on site, team events, handling invoicing, and ensuring smooth documentation processes.

Key Responsibilities:Event Planning & Coordination:

  • Arrange flights and accommodations for teams on site and company gatherings.
  • Plan and coordinate summer outings, Christmas parties, and other corporate events.
  • Manage vendor communications, budget tracking, and event logistics.

Administrative & Financial Support:

  • Assist in invoicing clients and ensure timely follow-ups for payments.
  • Collect and verify employee timesheets before submission.
  • Handle collection from clients, ensuring that payments are received on schedule.
  • Prepare and submit supporting paperwork and receipts for accounting and documentation purposes.

General Coordination:

  • Maintain an organized record of transactions and bookings.
  • Support the team with miscellaneous administrative tasks as needed.
  • Ensure seamless communication between internal teams and external vendors.

Qualifications:

  • Recent graduate with a degree in Business Administration, Tourism, Hospitality, Accounting, or a related field.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to handle multiple tasks efficiently.
  • Proficiency in Microsoft Office 365(Excel, Word) and Google Suite (Docs, Sheets).
  • Good communication and interpersonal skills.
  • Willingness to learn and adapt in a fast-paced, remote work environment.

Preferred Skills (Not Required but a Plus):

  • Experience in event planning or administrative support.
  • Basic knowledge of invoicing and financial tracking.
  • Familiarity with remote collaboration tools like Teams.
