We're seeking a proactive and highly organized Executive Real Estate Virtual Assistant to provide end-to-end support for a Florida-based real estate professional. This role covers administrative, communication, and operational responsibilities, serving as a trusted right hand to ensure smooth workflows across vacation rental management, property management, and real estate sales. The ideal candidate is detail-oriented, resourceful, and comfortable working in a fast-paced, dynamic real estate environment.

Key Responsibilities

  • Manage and prioritize the client's inbox and calendar, including scheduling and follow-ups.
  • Draft, send, and monitor emails to clients, partners, and industry contacts.
  • Prepare and track invoices related to property management and vacation rental operations.
  • Build and update reports in Google Sheets and similar tools.
  • Assist with task management and progress tracking using Asana (or equivalent platforms).
  • Maintain accurate and organized contact databases for both personal and professional networks.
  • Support project prioritization, ensuring time-sensitive real estate activities are addressed promptly.
  • Coordinate logistics for property showings, client meetings, and vacation rental turnovers.
  • Send reminders and follow-ups to maintain accountability and workflow momentum.
  • Handle sensitive financial and client information with confidentiality.
  • Assist with vacation rental bookings and guest communications.
  • Support listing preparation and coordination for upcoming property launches.

Mandatory Requirements

  • Excellent written and verbal English communication skills (required).
  • Proven experience with email management, scheduling, and reporting.
  • Prior experience as an Executive or Personal Virtual Assistant.
  • Strong organizational skills and attention to detail.
  • Self-motivated, dependable, and able to work independently in a remote setup.
  • Comfortable supporting real estate professionals and handling sensitive data.

Preferred Skills

  • Familiarity with Google Workspace, Asana, and vacation rental platforms.
  • Real estate industry or property management background (strongly preferred).
  • Ability to build and nurture professional relationships in the real estate sector.
  • Interest in contributing to a purpose-driven business led by a cancer survivor.
