Job description:
Key Responsibilities:
Document Control & Management:
Maintain the master document register and document control system.
- Ensure creation, review, approval, distribution, and archival of QMS documents, including procedures, work instructions, forms, and records, in accordance with ISO 9001:2015 requirements.
Remove obsolete documents from points of use and archive as per retention schedules.
Process Documentation:
Collaborate with department heads to document and standardize company processes to meet ISO 9001:2015 standards.
- Develop structured procedures, process maps, and work instructions.
Update process documentation as operations evolve, ensuring accuracy and compliance.
Compliance & Audit Support:
Ensure document control processes comply with ISO 9001:2015 and internal QMS policies.
- Provide documented evidence and records to support internal and external audits.
Monitor and report document control compliance metrics.
Training & Guidance:
Train staff on document control procedures and ISO-compliant process documentation practices.
Act as the point of contact for documentation-related queries.
Continuous Improvement:
Identify and implement improvements in document control and process documentation workflows.
- Support a culture of quality and compliance across the organization.
Key Performance Indicators (KPIs):
- Document Accuracy & Timeliness: Percentage of QMS documents updated and approved within defined timelines.
- Process Documentation Completion: Number of core processes documented to ISO 9001:2015 standards per quarter.
- Audit Readiness: Availability and accessibility of required documents during internal and external audits.
- Obsolete Document Management: Percentage of outdated documents removed from active use.
- Training Effectiveness: Number of employees trained on document control and process documentation, and compliance adherence post-training.
