We are looking for a highly organized Virtual Bookkeeping Assistant to manage financial transactions, payroll processing, and other bookkeeping tasks. In this role, you will manage tenant collection processes, initiate legal proceedings if needed, and track their progress. The ideal candidate will have experience with QuickBooks, ADP (or similar payroll software), and U.S. financial regulations. Strong communication skills are essential as you'll collaborate with property owners, tenants, and internal teams to ensure smooth financial operations.

Key Responsibilities

  • Manage tenant collections, initiate legal proceedings when necessary, and track progress.
  • Maintain accurate financial records, including invoices, receipts, and payments.
  • Use QuickBooks for bookkeeping, expense tracking, and financial reporting.
  • Prepare and analyze financial statements such as profit & loss reports and balance sheets.
  • Ensure compliance with U.S. financial regulations, tax laws, and accounting standards.
  • Assist with tax filings, audits, and compliance matters.
  • Process payroll using ADP, ensuring accuracy and compliance.
  • Provide financial updates and work with internal teams.
  • Use property management software to track rental income and financial transactions.
  • Communicate with tenants and property owners regarding rental payments, late penalties, and lease agreements.
  • Maintain communication with vendors, contractors, and service providers.

Mandatory Requirements

  • Prior experience managing financial records and payments – MUST
  • Proficiency in QuickBooks – MUST
  • Strong proficiency in Excel.
  • Excellent communication skills.
  • Ability to learn and adapt to new processes quickly.
  • Experience with ADP or similar payroll processing tools.
  • Strong organizational skills and the ability to maintain workflow efficiency.
  • Familiarity with U.S. financial regulations and compliance.
  • Comfortable working in the U.S. time zone.

Preferred Skills

  • Familiarity with Buildium software.
  • Ability to anticipate needs and solve problems independently.
  • Knowledge of financial workflows and bookkeeping.
  • Previous experience working in a U.S.-based work environment.
  • Experience handling finances for real estate companies is a plus.
