Admin and Operations Officer

The Admin & Operations Officer assists the Sales & Operations Manager in ensuring that all branch operations are running smoothly. He/She leads in the supervision and execution of all branch-related administrative projects and ensures the timely and accurate submission of all required reports.
Key Responsibilities:
Inventory Management
- Schedule and supervise the performance of monthly inventory reporting across all sites
(HQ, Ortigas, San Juan, Makati, BGC etc.)
- Ensures accuracy of inventory at all sites
Studio Merchandise + Consignment Management
Assist in the proper documentation and coordination of activities with consignors
Ensure the proper merchandising of all studio merchandise displays across all sites
Generate monthly merchandise sales reports and send out individual reports to
respective consignors and assist in processing of their pay-outs (collect billings, prepare
RTPs, submit to Finance & Accounting)
Maintenance & Repairs Management
Ensures all equipment and fixed assets are in good working condition
Maintain maintenance logs for all equipment and fixed assets
Supervises any and all repairs
Coordinates with suppliers and contractor for maintenance
Coordinates with architects, designers and engineers for any renovation, major studio
repairs, or fit outs
- Coordinates with building admins and branch admins if necessary
Facilities and Utilities Management
- Monitor utilities across all sites and ensure uninterrupted servicing
- Coordinate any upgrades / repairs needed
- Ensure yearly insurance policies are regularly updated
- Conduct regular facilities site audits to ensure branch compliance on set site standards
Permits & Licenses
- Ensure all required permits and licenses for branch operations are regularly updated and properly displayed across all sites
- Facilitate the renewal of necessary permits and licenses across all LGUs
Purchasing
Canvass for items requested via RTP (stick to 3 canvas rule)
Supervise and consolidate the timely preparation and submission of RTPs (Request to
Purchase)
- Supervise the ordering / sourcing / replenishment of RTPs across all sites
*Other projects as assigned by the supervisor.
