1) Process Automation and System Improvement
a) Develops and implements automation solutions for IMS workflows and reporting processes.
b) Coordinates with Information Technology (IT) section for system integration and process digitalization.
c) Ensures proper documentation, validation, and testing of systems to confirm compliance with IMS, IT Security, and Data Protection standards.
d) Establish and maintain process for Information Management.
2) Information and Data Management
a) Manages access, permissions, and user accounts for departmental and project-based electronic records.
b) Ensures security, retrievability, and confidentiality of QMS data through established backup and recovery systems.
c) Coordinates with IT and DPO for the management of data lifecycle—from creation, storage, and use to retention and disposal.
3) Risk and Compliance Management
a) Identifies and evaluates risks associated with digital records and information systems.
b) Ensures information management practices comply with applicable ISO standards and data protection requirements.
c) Supports Data Protection Impact Assessments (DPIA) for new or updated IMS digital systems.
4) Documentation and Support
a) Maintains documentation related to system automation, validation records, access control logs, and data privacy compliance.
b) Provides technical support and training to staff on information management procedures.
c) Participates in continuous improvement initiatives related to digital IMS.
5) Compliance and Other Duties
a) Implements and complies with the company's IMS and policies.
b) Actively participates in company-wide and departmental programs and activities.
c) Performs other tasks as assigned by the QMS Manager.
1) Educational Background
a) Must possess at least a Bachelor's Degree in Information Technology, Computer Science, or related field.
3) Work Experience/Training Requirement
a) Minimum of 3–5 years of experience in information management, system administration, or digital process improvement.
b) Experience in data privacy compliance, data protection audits, or DPO coordination is an advantage.
c) Experience of ISO 9001:2015 requirements and quality documentation standards.
4) Skills and ability
a) Proficient in Microsoft Office, SharePoint, Teams, and other collaborative document platforms.
b) Strong understanding of data protection principles and ISO standards.
c) Excellent analytical, technical, and problem-solving skills
d) Excellent coordination and communication abilities with cross-functional teams.
e) Strong organizational and attention-to-detail skills.
