Internal Messenger

The Internal Messenger is responsible for handling the daily delivery and pickup of documents, packages, and messages within the organization. The role ensures that materials are promptly and securely delivered to the appropriate departments, employees, or external locations. The Internal Messenger also assists with other logistical tasks, contributing to the efficient operation of the office.

Key Responsibilities:

Document and Package Delivery:

• Deliver documents, packages, and internal communications to designated departments, employees, or external partners.
• Ensure timely and accurate delivery of messages, documents, and parcels within the organization.

Mail Collection and Distribution:

• Collect incoming mail, packages, and documents from external couriers, the post office, or delivery services, Dispatch contracts for stamping.
• Sort and distribute mail to the appropriate recipients or departments, Maintain log books/ registers.

Confidentiality and Security:

• Handle sensitive or confidential materials with care, ensuring they are securely delivered to the correct recipient.
• Ensure proper documentation of deliveries or pickups of important items.

Office Coordination:

• Coordinate with other departments to ensure the efficient flow of documents and messages.
• Assist in the organization of inter-office communication and correspondence.

External Deliveries and Errands:

• Run errands outside of the office, such as delivering documents to external partners or picking up supplies as needed.
• Ensure the timely return of documents and materials that are outside the office.

Logistical Support:

• Assist with the transport of office supplies, small equipment, or other materials between departments or locations.
• Support the administrative team with organizational tasks, such as filing, document handling, or office organization, when needed.

General Office Maintenance:

• Help maintain the office's organization by ensuring that all materials are delivered to the appropriate areas in an orderly and efficient manner.

Qualifications:

• High school diploma or any college degree.
• Must be computer literate (Microsoft Word, Office, Excel).
• Previous experience in an internal messenger or delivery role is a plus.
• Strong communication skills and attention to detail.
• Ability to handle sensitive or confidential information securely.
• Good organizational skills and ability to manage time effectively.
• Ability to work well independently and as part of a team.

Working Conditions:

• Full-time position.
• Physical demands may include walking, lifting, and carrying packages.
• Deliver documents, packages, and internal communications to designated departments, employees, or external partners.
