MAIN DUTIES AND RESPONSIBILITIES:

The Program Coordinator is responsible for the planning, execution, support, and follow-up of Operation Smile's medical programs in the Philippines.  This requires the ability to balance several projects at once. The Program Coordinator will work with the Program Manager & Executive Director, as well as other OSI program coordinators towards achieving these goals. The Program Coordinator for Hubs and Spokes is responsible for all activities pertaining to Operation Smile Hubs and Spokes operation for the Philippines

Fact Finds / Strategic Plan for Programs:

Plan execute/lead Hubs and Spokes activities within the Philippines (fact find, patient recruitment, NGO and CBO partnerships, hospital relationship building, mission execution, etc.).

Essential Functions:

  • Work with the Program Manager and Executive Director in establishing partnerships and surgical operations in partner HUB and SPOKE hospitals in the Philippines.
  • Build relationships with HUB and SPOKE partner hospitals, and establish care delivery process for OS Patients
  • Build the medical team necessary for regular care delivery process in HUB and SPOKE partner hospitals
  • Spearhead the patient recruitment processes, ensuring that we find and deliver care to patients
  • Prepare Monthly and Quarterly Report for OSP & OSI requested by the PM.
  • Maintains patients' files for scheduled appointments; files study patient charts; files all patient data upon receipt of information; initiates record for new patients and creates computer index; prepare levels; maintain filing statistics; audits filings sequence.
  • Responds to requests for medical records; processes letters and reports; answers and directs telephone calls.
  • Keeps supervisor informed of problems or issues and reports any equipment malfunction in partner hospitals and centers.
  • Reviews medical records for completeness, assembles records into standard order, and files records in designated areas according to applicable alphabetic and numeric filing system.
  • Facilitate special projects as needed.

Communication and Collaboration

  • Communicate regularly with the PM and the clinical team.
  • Communicate regularly with HUB and SPOKE hospital partners for operation planning and care delivery.
  • Communicate regularly with the Operation Smile medical team as well as the various departments of the hospitals.

Qualifications Required:

  • A university graduate with a degree in business, management, communication, non-profit studies, or related field
  • 2+ years project/program management experience
  • Excellent computer skills (Microsoft Office 365 experience is required)
  • NGO experience is a plus
  • Ability to travel frequently
