Position Title: Intake Coordinator
Work Set Up: Onsite
Schedule: 9:00 PM to 6:00 AM PH Time
Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark, Pampanga
Quick Rundown:
The Intake Coordinator plays a critical role in supporting daily operations. This position serves as a key point of contact for prospective clients, referral partners, caregivers, and internal teams, ensuring seamless intake processing, administrative coordination, and after-hours support in alignment standards.
What Youll Do:
Intake & Sales Support
- Serve as the first point of contact for new client inquiries via phone, email, or referral sources.
- Conduct initial client intake, gather required information, and assess service needs.
- Coordinate with clinical and operations teams to confirm service availability.
- Prepare and process intake documentation, including service agreements and required forms.
- Support sales efforts by following up on inquiries, referrals, and pending intakes.
- Maintain accurate intake records and CRM tools.
Administrative Support
- Provide day-to-day administrative assistance to support office operations.
- Maintain organized and accurate client, caregiver, and franchise records.
- Assist with scheduling coordination, documentation tracking, and internal reporting
- Ensure compliance, HIPAA, and franchise requirements
- Communicate effectively with internal teams, franchise leadership, and corporate partners.
On-Call / After-Hours Support
- Participate in on-call coverage during assigned evenings, weekends, or holidays.
- Respond promptly to client, caregiver, and referral calls outside of normal business hours.
- Triage calls appropriately, resolve routine issues, and escalate urgent matters per protocol.
Document all on-call interactions accurately in designated systems.
- Coordinate with clinical staff, schedulers, and leadership to ensure continuity of care.
What Were Looking For:
Excellent command of English (verbal and written) is required.
Experience in sales, sales support, or customer-facing roles is preferred.
Basic understanding of healthcare, home health, or medical field concepts.
Experience in home health, healthcare administration, or customer service is a plus.
Strong communication and interpersonal skills.
Ability to manage multiple priorities in a fast-paced environment.
High attention to detail and strong organizational skills.
Comfort with phone-based intake, documentation, and follow-up.
Proficiency in basic office software and healthcare systems (CRM, EMR, scheduling tools).
Ability to maintain professionalism and confidentiality at all times.
Prior home health franchise experience (preferred but not required).
Intake, admissions, or healthcare sales background.
On-call or after-hours healthcare support experience.
Knowledge of HIPAA and healthcare compliance standards
