IT Project Manager

Job Description

IT Project Manager takes full responsibility for the definition, approach, facilitation and satisfactory completion of IT projects. This role provides effective leadership to project teams while adopting appropriate project management methods and tools.

Focuses on managing change control processes, assessing risks, and ensuring projects align with governance frameworks and business priorities.

Principal Duties and Responsibilities

  • Takes full responsibility for definition, approach, facilitation and completion of medium-scale projects

  • Provides effective leadership to project teams across all project phases

  • Adopts appropriate project management methods and tools suited to project requirements

  • Manages change control processes and assesses and manages risks comprehensively

  • Ensures projects align with governance frameworks and business priorities

  • Maintains realistic project plans and delivers regular, accurate communication to stakeholders

  • Ensures project and product quality reviews occur on schedule and according to procedure

  • Aligns project deliverables with organizational goals and standards

  • Ensures project deliverables are completed within agreed cost, timescale and resource budgets

  • Monitors costs, times, quality and resources, acting were performance deviates from tolerances

  • Proactively monitors performance metrics, implementing preventive and corrective actions

  • Ensures formal acceptance of deliverables by appropriate stakeholders

Scope of Work

1. Project Overview and Objectives

  • Project Purpose: Implement an enterprise-wide system that supports core business

functions and integrates with existing applications.


• Objectives:

o Configure and deploy the enterprise system according to organizational requirements.

o Integrate the system with existing ERP and other critical applications to ensure seamless data flow and operational efficiency.

o Map, analyze, and optimize current business processes to align with the new system's capabilities.

o Manage and coordinate third-party vendors to support various components of the implementation.

  1. Responsibilities and Deliverables

A. Project Planning & Governance

Define Project Plan: Develop a comprehensive project plan outlining milestones, timelines, resource allocations, and deliverables.

Documentation: Create and maintain essential project documents such as the Project Charter, Business Requirements Document (BRD), and Status Reports.

Approval Management: Secure necessary approvals from internal stakeholders and participate in gate reviews to ensure compliance with project standards.

B. System Configuration & Integration

System Configuration: Oversee the configuration of the enterprise system to meet business requirements.

Application Integration: Direct and manage the technical integration between the new system and existing applications (e.g., ERP, CRM), ensuring data integrity and system interoperability.

Testing: Develop and execute comprehensive testing strategies including unit, integration, and user acceptance tests to validate functionality and performance.

C. Vendor Management

Third-Party Coordination: Manage relationships with external vendors and service providers involved in system configuration, integration, or support services.

Service Level Agreements (SLAs): Monitor vendor performance against agreed SLAs, ensuring adherence to quality and timeline standards.

Risk Management: Identify, evaluate, and mitigate risks related to vendor performance and technical integration challenges, using a formal risk management approach.

D. Communication and Reporting

Stakeholder Updates: Provide regular status reports, dashboards, and updates to key stakeholders.

Meetings & Reviews: Organize and lead regular project review meetings, including progress assessments and lessons learned sessions.

Issue Resolution: Act as the primary point of contact for project issues, facilitating timely escalation and resolution.

Key Performance Indicators (KPIs)

1. Timeliness and Milestone Achievement

  • Milestone Adherence: Percentage of project milestones achieved on schedule.

  • On-Time Delivery: Proportion of deliverables completed within agreed timelines.

2. Budget Management

  • Budget Variance: Tracking deviations from the approved budget throughout the project lifecycle.

  • Cost Efficiency: Evaluation of project spending relative to planned costs.

3. Quality of Deliverables

  • Defect Rate: Frequency of issues or defects identified during testing phases and post-implementation.

  • User Acceptance: Rate of successful user acceptance tests (UAT) and stakeholder sign-offs.

  • Integration Quality: Number and severity of critical integration issues between the new system and existing applications.

4. Vendor and Stakeholder Satisfaction

  • Vendor Performance: Regular assessments using vendor scorecards to gauge compliance with SLAs.

  • Stakeholder Satisfaction: Feedback and satisfaction ratings from internal stakeholders regarding project progress and communication.

  • Issue Resolution Efficiency: Average time taken to resolve project-related issues and escalations.

5. Process Improvement and Change Management

  1. Process Mapping Accuracy: Completion and validation of business process mapping documentation.

  2. Adoption Rate: Speed and extent of user adoption of the new system, measured throughtraining participation and feedback.

  3. Training Effectiveness: Evaluation scores from training sessions and subsequent user surveys.

6. Risk and Issue Management

  • Risk Mitigation Success: Ratio of resolved or mitigated risks versus total identified risks.

  • Issue Response Time: Average response and resolution time for project-related issues.

Requirement and Qualification (Education & Work Experience)

· Bachelor of Science degree in Engineering, Computer Science or related fields; and

· 8+ years of Project Management experience demonstrated by a proven track record of success in managing complex IT programs and projects related to delivering either software or IT infrastructure/network solutions (with working experience in using "agile" methods in delivering IT solutions) from initiation to completion.

Work Schedule: Monday to Friday, 8:00 AM – 6:30 PM

Work Site: 12G Head Office, Double Dragon Plaza, Pasay City

Job Type: Fixed term

Contract length: 12 months
