Duties and Responsibilities

A. Payables Management (A/P and A/P Down payment Invoice)

  • Review company requests for payments (e.g., via RFP, CA, etc.) to ensure attachments are complete, in compliance with existing policies and budgets, and duly approved by authorized approvers. (Daily)
  • Obtain accurate vendor information, including preferred mode of payment, from the requesting party prior to processing, and discuss any findings, exceptions, or discrepancies with the requestor.
  • Ensure completeness of recorded transactions

B. Bookkeeping (Journal Voucher)

  • Review and record various transactions not applicable to the A/P Invoice Module (e.g., correcting and adjusting entries, transactions involving two or more vendor or customer codes, cash advance liquidations, and month-end entries).
  • Ensure completeness of recorded transactions

C. Internal Reconciliations of Balance Sheet Accounts

  • Ensure that all processed transactions for the month are internally reconciled on a weekly basis before generating month-end reports.

D. Month-end Reports

  • Prepare Balance Sheet Schedules for all accounts with updated status.
  • Generate A/P Processing Time Report, covering all payment requests regardless of nature or mode.

E. Other Month-end Reports

  • Prepare Travel Expense Report vs. Sales Report.
  • Prepare Fuel Expense Report vs. Sales Report.

F. Filing/Documents Monitoring

  • Maintain and monitor Journal Vouchers and corresponding attachments (based on JV Reference).
  • Ensure that all original hard copy Expense Reports are submitted, received, and properly filed at the Head Office.

G. Others

  • Perform other tasks as may be assigned from time to time, depending on the urgency of need.
