Responsible for maintaining the accuracy and integrity of the company's financial records through QuickBooks. This role manages day-to-day accounting functions, supports payroll and invoicing, and ensures compliance with Philippine accounting and tax regulations. In the context of a fast-paced express delivery service provider, the QuickBooks Specialist plays a key role in streamlining financial processes to support efficient operations.
Key Responsibilities
Bookkeeping & Accounting
- Record daily financial transactions, including delivery revenues, vendor payments, and operating expenses.
- Maintain and reconcile accounts receivable and accounts payable in QuickBooks.
- Prepare journal entries and ensure proper classification of accounts.
- Monitor fleet and logistics-related expenses for accurate cost allocation.
Payroll & Invoicing Support
- Coordinate with HR for payroll entries, allowances, and statutory deductions.
- Generate invoices for corporate accounts, monitor collections, and update receivables.
- Record reimbursements, advances, and cash disbursements accurately.
Financial Reporting
- Generate monthly, quarterly, and annual financial statements (Profit & Loss, Balance Sheet, Cash Flow).
- Prepare management reports on cost efficiency, revenue performance, and profitability of hubs and operations.
- Provide audit-ready reports and assist internal/external auditors.
Compliance & Internal Controls
- Ensure compliance with BIR reporting, taxation, and accounting standards.
- Maintain proper records and filing of vouchers, receipts, and supporting schedules.
- Support Finance Manager in budgeting, forecasting, and variance analysis.
System Optimization
- Maintain the QuickBooks system, ensuring updated chart of accounts.
- Provide training and guidance to staff using QuickBooks for reporting or monitoring.
- Recommend process improvements to improve efficiency and reduce errors.
Qualifications
- Bachelor's Degree in Accountancy, Finance, or related field.
- At least 2–3 years of experience in accounting/bookkeeping with QuickBooks (Online/Desktop).
- Preferably with experience in logistics, courier, or transport-related industries.
- Strong knowledge of Philippine taxation, compliance, and accounting practices.
- Proficiency in MS Excel and financial reporting tools.
- High attention to detail, accuracy, and confidentiality.
- Strong organizational and time-management skills.
