About the Role

We are seeking a proactive and dynamic Operations Manager who can also perform Executive Assistant duties, specializing in the construction industry. This hybrid position will support top-level executives in day-to-day operations, optimize business processes, manage key tasks, and facilitate project efficiency across various departments.

Responsibilities

Executive & Administrative Support

  • Manage inboxes and calendars for two executives, including meeting coordination, scheduling, and select personal tasks
  • Prepare meeting summaries, action items, and follow-ups while ensuring tasks are tracked and completed
  • Organize documents, maintain records, and manage CRM updates
  • Triage communications and proactively address issues
  • Assist with onboarding, account setup, system updates, and secure handling of confidential information

Operations & Process Management

  • Support construction office operations by identifying inefficiencies and implementing streamlined workflows
  • Systematize business operations through SOP creation, documentation, and task management
  • Serve as a liaison between executives, internal staff, subcontractors, and vendors to ensure clear communication and execution
  • Monitor operational KPIs, productivity tracking, and compliance with established procedures
  • Conduct routine audits, track performance, and support continuous improvement initiatives
  • Support project management functions using construction management software such as Buildertrend
  • Oversee procurement coordination, data entry, and process documentation within project systems
  • Act as a middle point for small service requests, subcontractor coordination, and basic job quoting
  • Assist with light project accounting, including budget monitoring, expense tracking, invoicing, billing, and payment follow-ups

Competencies and Qualifications

Must-Have

  • At least 2-3 years of executive administrative or operations experience within the construction industry
  • Proven ability to independently manage complex calendars, inboxes, and operational tasks
  • Strong familiarity with construction workflows, terminology, and project management software
  • Excellent written and verbal English communication skills
  • Highly organized, detail-oriented, and comfortable working in a fast-paced, direct environment
  • Strong process mindset with demonstrated experience creating, improving, and enforcing SOPs

Nice-to-Have

  • Construction operations expertise with a solid understanding of construction processes, terminology, and the full project lifecycle
  • Experience documenting workflows and improving operational consistency through process and SOP development
