Job Summary

The Data Privacy Assistant (DPA) provides administrative and technical support to the Data Privacy Protection Officer (DPPO) to ensure the organization's compliance with the Data Privacy Act of 2012 and related regulations. The role supports data protection initiatives, policy documentation, Privacy Impact Assessments (PIAs), data subject concerns, data security incident handling, and privacy awareness activities, while maintaining accurate records and audit documentation.

Key Responsibilities
Compliance Support
  • Assist the DPPO in day-to-day compliance monitoring with applicable data privacy laws and regulations
  • Help track regulatory updates and issuances
  • Coordinate schedules, documentation, and logistics for compliance submissions and audits
Policy & Documentation
  • Assist in drafting, maintaining, and updating data protection policies, guidelines, and SOPs
  • Help disseminate and archive approved privacy documents
  • Support document preparation for internal and external audits
Privacy Impact Assessments (PIA)
  • Provide administrative and logistical support in the conduct of PIAs
  • Assist in preparing summaries, tables, and risk assessment documentation
  • Maintain updated PIA records and tracking logs
Data Subject Concerns
  • Log and track data subject requests (access, correction, etc.)
  • Coordinate with concerned departments to ensure timely resolution
  • Assist in preparing reports related to data subject rights
Data Security & Incident Handling
  • Assist in monitoring reported security incidents or suspected breaches
  • Help document incident reports and support initial investigations
  • Maintain incident registers and assist in preparing notifications when required
Training & Awareness
  • Support privacy awareness programs, trainings, and orientations
  • Track training attendance and compliance
  • Maintain a repository of training materials
Audit & Monitoring
  • Provide clerical and documentation support during audits and compliance reviews
  • Organize audit evidence and maintain audit logs
  • Follow up on corrective actions and audit findings
Other Duties
  • Perform other tasks related to data privacy and protection as assigned
Qualifications & Requirements
Education
  • Bachelor's Degree in Legal Management, Information Technology / Information Security, Business Administration, Public Administration, or a related field
Experience
  • At least 1 year of experience in administrative, compliance, legal, or information management roles
  • Experience in data privacy or regulatory compliance is an advantage
Language Proficiency
  • English

Required Skills & Competencies
  • Working knowledge of the Data Privacy Act of 2012 and its IRR
  • Strong organizational and record-keeping skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Strong communication and coordination skills
  • Discreet handling of confidential and sensitive information
  • Willingness to learn and grow in the field of data privacy and protection
