About Us:
Automagic Solutions is a rapidly growing, service-based agency that helps clients launch fully automated cleaning businesses. We handle the branding, staffing, and marketing to build their business from scratch, making it a completely hands-off process for them. Due to a recent surge in client demand, we are expanding our team and are seeking a warm, proactive, and professional Virtual Assistant to support both our leadership and our valued clients.
Job Summary:
We are looking for a Virtual Assistant to join our remote team and support our clients and customer success team. You will be responsible for managing five client-facing email accounts, responding to customer inquiries, handling service delays with grace, and hopping on Google Meet support calls when needed. This is a client-facing role that requires confidence, kindness, and top-tier english communication skills.
Key Responsibilities:
• ??Email Management:
• Monitor and respond to emails daily across five client communication inboxes.
• Reply to all inquiries during business hours (9AM–5PM ET), using provided scripts & chat gpt if needed.
• Sign emails as our official Assistant.
• Client Support & Damage Control: Helping with client retention
• Handle high-volume support inquiries and de-escalate frustrated clients.
• Provide updates, reassurance, alternative options, and solutions for clients requesting refunds or support due to service delays.
• Google Meet Support Calls:
• Open a few days with a few hours open for optional client support video calls at their request.
• Appear professional with a clean or branded background (we can provide a virtual background).
• Be a calm, happy, and positive presence to help clients feel supported and heard.
• Task Delegation & Tracking:
• Use Google Tasks to notate and assign internal follow-ups from client emails.
• Ensure accurate communication between departments to keep client projects moving.
• Administrative Assistance:
• Provide virtual assistant support to the CEO, managers, and supervisors.
• Join our Slack workspace to stay connected with the internal team and ask for help as needed.
Requirements:
• Reliable internet connection with working camera and mic for Google Meet
• Fluent English with clear, professional communication skills (spoken and written)
• Outgoing, approachable, solution-focused, and patient with customers
• Comfortable with technology (Gmail, Google Tasks, Slack, Google Meet, etc.)
• Able to work independently and manage time effectively
• Willing to use ChatGPT for fast and accurate communication (strongly encouraged)
• Must appear on camera with a clean/professional background (we can provide optional image)
Work Hours & Flexibility:
• You may choose your own schedule within the 9AM–5PM EST window.
• Example: 9AM–3PM, or 11AM–5PM.
• Expected to work 6 hours/day, Monday through Friday.
Compensation & Growth:
• $100/week (USD) paid every Friday via Payoneer ($200 a week after 90 days)
• All training provided virtually
• Scripts, SOPs, and team chat support available
