Key Responsibilities
1. Administrative Operations
  • Supervise overall administrative functions and ensure efficient office operations.
  • Develop and implement administrative systems, policies, and procedures.
  • Monitor administrative budgets and control operational costs.
2. Vehicle Management (Technical Admin Expertise)
  • Oversee company vehicles including:

  • Preventive maintenance scheduling

  • Repair coordination with accredited service providers
  • Monitoring of vehicle condition and roadworthiness
  • Handle vehicle-related documentation:

  • Insurance policies and claims processing

  • LTO registrations and renewals
  • Incident and accident reports
  • Ensure compliance with safety standards and company vehicle policies.
3. Property & Facilities Management
  • Supervise maintenance of office facilities, buildings, and company properties.
  • Coordinate with contractors and suppliers for repairs, renovations, and preventive maintenance.
  • Ensure that facilities are safe, functional, and well-maintained.
  • Monitor and document property-related concerns and improvements.
4. Utilities Management
  • Oversee utility services (electricity, water, internet, telephone, etc.).
  • Monitor consumption and verify billing accuracy.
  • Coordinate with service providers for installations, repairs, and service issues.
5. Supervision of Utility Staff, Messengers, and Drivers
  • Directly supervise and manage:

  • Utility personnel

  • Messengers
  • Company drivers
  • Prepare work schedules, monitor attendance, and evaluate performance.
  • Assign daily tasks and ensure timely completion of errands, deliveries, and transport services.
  • Enforce discipline, safety, and professionalism among staff.
6. Vendor and Supplier Coordination
  • Source and coordinate with reliable suppliers and service providers.
  • Evaluate quotations and monitor service quality.
  • Ensure timely delivery of services and cost efficiency.
7. Compliance and Documentation
  • Maintain organized records for:

  • Vehicle documents

  • Insurance policies
  • Maintenance logs
  • Contracts and service agreements
  • Ensure compliance with company policies and regulatory requirements.

Qualifications
  • Bachelor's degree in Business Administration, Management, or related field.
  • At least 2–5 years of experience in administrative supervision or operations.
  • Strong knowledge of:

  • Vehicle maintenance, repairs, and insurance processes

  • Property and facilities management
  • Utility and logistics operations
  • Proven leadership and people management skills.
  • Highly organized with strong attention to detail.
  • Good communication and coordination skills.
