The Fleet Administrator for Vehicle Management is responsible for overseeing the maintenance, compliance, and overall organization of the operation fleet. This role ensures vehicles are properly maintained, all necessary documentation is up to date, and drivers receive support for operational needs. The Fleet Administrator plays a critical role in optimizing fleet efficiency while ensuring regulatory compliance and cost-effectiveness.



QUALIFICATIONS


  1. Bachelor's degree in business administration, Mechanical Engineer or any related field.
  2. At least 2-3 years of experience in fleet or vehicle management.
  3. Strong knowledge of LTO regulations, insurance processes, and transport compliance.
  4. Experience with GPS tracking and fleet monitoring systems is a plus.

  1. Excellent written and verbal communication skills.
  2. Good interpersonal skills
  3. Ability to handle multiple projects simultaneously and work under pressure.
  4. Strong organization and project management skills.
  5. Knowledgeable in Microsoft Office and relevant software.

DUTIES AND RESPONSIBILITIES


  1. Vehicle Maintenance & Repair Coordination

  2. Track and monitor vehicle maintenance schedules and repair status.

  3. Request and process payments for vehicle repairs and services.
  4. Coordinate with service providers for vehicle maintenance and repair needs.

  5. Maintain records of vehicle inspections, repairs, and servicing.

  6. Fleet Documentation & Compliance

  7. Request, track, and renew vehicle decals and permits.

  8. Ensure all vehicles have proper registration and documentation.
  9. Secure and manage vehicle records, including insurance and inspection reports.

  10. Ensure compliance with traffic laws and company policies.

  11. Driver Support & Coordination

  12. Assist drivers in resolving traffic violations and regulatory concerns.

  13. Provide necessary documentation and support for drivers as needed.

  14. Coordinate vehicle assignments and availability for company use.

  15. Fleet Inventory & Resource Management

  16. Conduct inventory checks for fleet-related supplies, tools, and spare parts.

  17. Canvass and arrange procurement of necessary supplies and equipment.

  18. Maintain an organized fleet database with vehicle details and history.

  19. Reporting & Data Management:

  20. Prepare reports on fleet performance, maintenance costs, and fuel consumption.

  21. Monitor and update fleet-related data in company systems.

  22. Ensure timely submission of reports to management and headquarters (HQ).

  23. Compliance & Risk Management

  24. Ensure that all fleet operations adhere to safety and regulatory standards.

  25. Implement risk management to minimize vehicle-related accidents, breakdowns, and compliance violations.
  26. Conduct inspections and audits on vehicle roadworthiness and compliance with company policies.
