Business Systems & Automation Specialist

Full-Time | Remote | Day Shift (AEST alignment)

Housed is one of Australia's fastest-growing fitness and sports facility brands, operating gyms, pilates studios and basketball facilities across NSW. Our business runs on multiple systems, and we are now looking for someone who can help us automate, connect, and streamline everything behind the scenes.

We are hiring a Business Systems & Automation Specialist who is highly technical, detail-oriented, and passionate about creating efficient, reliable workflows.

This role is perfect for someone who loves systems, Zapier, integrations, and building order out of chaos.


What You'll Do

You will work closely with our Head of Operations to build and maintain clean, scalable systems across the entire business.

Your responsibilities include:
  • Build and maintain automations using Zapier, or native integrations
  • Connect multiple systems across different departments (GymMaster, Zendesk, Aircall, Slack, Google Workspace, ClickUp, MessageMedia and more)
  • Follow Loom instructions accurately and turn them into fully functioning workflows
  • Analyse processes and recommend improvements to increase efficiency, reduce manual work, and remove errors
  • Learn new systems quickly and in depth — you will work with many different tools
  • Troubleshoot and resolve automation issues fast
  • Document workflows, updates and changes clearly and consistently
  • Support operations, service, sales, pilates and basketball departments with technical workflow needs

Who We're Looking For
Required Skills
  • Strong experience with Zapier (filters, paths, conditions, multi-step Zaps)
  • Ability to quickly learn and understand new software platforms
  • Strong logical thinking and process mapping skills
  • Excellent English communication (written and spoken)
  • High accuracy and attention to detail
  • Ability to follow instructions clearly AND use your own expertise to improve the process
  • Strong documentation habits
  • Ability to work independently and meet deadlines
  • Proactive mindset — you identify problems before they cause issues
Nice to Have (but not required)
  • Experience with , API/webhooks
  • Experience with CRM systems, telephony tools, ticketing systems
  • Background in operations, IT support, digital systems, or automation
  • Experience working for Australian or international clients
