Position Summary: The Chief Physical Therapist (Chief PT) is responsible for leading and supervising the clinic's physical therapy team, ensuring high-quality patient care, implementing and enforcing operational protocols, and coordinating with management to achieve clinical and business goals. This role combines clinical expertise with administrative and leadership responsibilities.
Key Responsibilities
1. Leadership & Supervision
- Supervise, mentor, and guide all Physical Therapists (PTs).
- Ensure compliance with the clinic's Operations Manual and PT Manual, as well as policies and procedures.
- Oversee PT scheduling and equitable patient distribution ("decking") to maintain balanced workloads.
- Address PT concerns, questions, and conflicts in a professional and timely manner.
- Provide training and coaching to improve clinical and professional skills of PT staff.
2. Patient Care & Clinical Oversight
- Conduct PT evaluations and reassessments, ensuring accuracy and completeness of documentation.
- Monitor and review patient treatment plans for quality and appropriateness.
- Ensure patient satisfaction by regularly monitoring treatment progress and addressing concerns or complaints.
- Handle complex cases, second opinions, and serve as point person for VIP patients.
3. Administrative & Reporting Duties
- Input and maintain accurate patient information in clinic Excel databases.
- Manage PT scheduling, attendance tracking, and leave requests.
- Prepare and submit the clinic census for month-end reports.
- Ensure that monthly reports and HMO Statements of Account (SOAs) are submitted on time.
- Perform front desk duties, including cashiering, issuance of receipts, and preparation of daily sales reports, when the front desk admin staff is unavailable.
- Monitor PT treatment records and ensure proper filing and documentation for audit readiness.
4. Operations & Process Improvement
- Collaborate with management to update and refine clinic procedures and workflows.
- Implement efficiency measures to improve patient flow and service quality.
- Track and analyze PT performance metrics (e.g., productivity, patient retention).
- Ensure cleanliness, organization, and readiness of therapy areas and equipment.
- Assist in HMO-related tasks, including onboarding of doctors, application for new HMOs, and repricing of treatments.
5. Communication & Coordination
- Serve as the main liaison between PT staff and management.
- Participate in management meetings and provide recommendations for operational improvement.
- Communicate clinic updates, policy changes, and announcements to the PT team.
- Keep track of customer feedback and ensure there are no unresolved patient complaints.
- Act as contact person for visiting doctors, addressing concerns and assisting with their schedules.
6. Compliance & Professional Standards
- Ensure all PT staff adhere to professional ethics, clinic rules, and relevant regulatory requirements.
- Ensure compliance with the Data Privacy Act and maintain strict confidentiality of patient information
- Monitor proper use and maintenance of therapy equipment.
- Promote continuing education and skills development among PT staff.
7. Marketing & External Representation
- Ensure monthly and quarterly target sales are met through monitoring, performance tracking, and patient service quality.
- Assist in promoting the clinic through participation in company visits, health fairs, and corporate wellness events.
- Represent the clinic at sports competitions, expos, and community events, managing booths and engaging with athletes, participants, and potential clients.
- Coordinate with management on marketing initiatives, providing professional input on patient-centered campaigns.
- Support referral programs and outreach to doctors, sports organizations, and wellness groups.
- Contribute to clinic visibility by assisting with educational content (e.g., health talks, social media features, or articles).
Additional Responsibilities
- Assist in onboarding and training of new PT staff.
- Conduct periodic performance evaluations for PTs.
- Coordinate in-house training sessions and knowledge-sharing activities.
- Monitor therapy supply usage and assist in inventory requests.
- Perform other duties inherent to the position or those assigned by management from time to time
What we're looking for
- Licensed Physical Therapist with valid PRC license (mandatory).
- Minimum of 5 years clinical experience in physical therapy, with at least 2 years in a leadership or supervisory role.
- Strong background in orthopedic, neurologic, and sports rehabilitation.
- Excellent leadership, mentoring, and team management skills.
- Strong decision-making, organizational, and problem-solving abilities.
- Passion for patient care, rehabilitation, and clinical excellence.
- Ability to train, supervise, and support junior PTs and interns.
- Knowledgeable in treatment planning, patient assessment, and outcome tracking.
- Comfortable with clinic operations, documentation, and quality assurance standards.
- Strong communication and interpersonal skills for both patients and colleagues.
- Open to continuous learning and professional development.
- Flexible, adaptable, and committed to upholding the clinic's standards of care.
