1. Administrative Support for the Executive Team

  • Administrative Tasks: Manage a wide range of administrative duties for the board, ensuring smooth daily operations.
  • Project Support: Assist with projects and special assignments delegated by the board.
  • Confidentiality Management: Safeguard confidential files, documents, and information related to executive operations.

2. Client Relationship Management

  • Client Liaison: Serve as the primary point of contact for key clients, building and fostering long-term relationships.
  • Account Reporting: Prepare weekly status reports on client accounts and communicate progress to relevant stakeholders.
  • Issue Resolution: Address client concerns and issues, escalating them when needed to ensure timely resolution.

3. Executive Scheduling and Coordination

  • Calendar Management: Coordinate and maintain executives' calendars, including appointments, meetings, and travel arrangements.
  • Meeting Coordination: Organize meetings, prepare agendas, take minutes, and ensure follow-up on action items to ensure tasks are completed.
  • Travel Coordination: Arrange travel plans, including booking flights, accommodations, and itineraries for executives as needed.

4. Communication and Documentation

  • Incoming and Outgoing Communications: Handle emails, phone calls, and mail, ensuring timely and accurate responses.
  • Document Preparation: Prepare and format reports, memos, presentations, and other documents required by the executive team.
  • Communication Facilitation: Act as a point of contact between the executive team and internal/external stakeholders to ensure smooth information flow.

5. Office and General Administrative Duties

  • Office Management: Oversee office supplies and resources, ensuring the Executive Office remains well-stocked and organized.
  • Follow-up: Ensure that all tasks, requests, and projects are followed up on and completed within the required timelines.
  • Additional Duties: Perform other ad hoc tasks or special assignments as required by the executive team.

Experience:

At least 2 years of experience in welfare management, human resources, or a similar role, ideally with a focus on migrant workers.

Skills and Competencies:

o Strong written and verbal communication skills.

o Ability to manage multiple cases and complaints efficiently and in a timely manner.

o Knowledge of labor laws, particularly those related to migrant workers.

o Conflict resolution skills and the ability to mediate disputes.

o Proactive approach to problem-solving and case management.

o Compassionate, empathetic, and committed to advocating for the welfare of workers.

o Professional and diplomatic in dealing with sensitive issues.

o Strong attention to detail and organizational skills.

o Ability to work independently and as part of a team.

Working Conditions:

· Location: Makati City Primarily office-based, with occasional travel required to meet workers or attend hearings.

· Working Hours: Standard business hours, with flexibility to accommodate urgent matters or hearings outside normal hours.
