As we grow, we are looking for an HR and Internship Program Coordinator who cares deeply about people, clarity, and grounded leadership. This role shapes how every team member experiences Ever Lasting, from interns to senior leads.

The Role

This is a foundational role. You will support the full HR ecosystem while leading the daily operations of our international internship program. You will serve as a steady partner to the Founder and HR Lead, helping build the systems, culture, and documentation that allow a creative remote team to work with clarity and ease.

You will be part coach, part systems builder, part cultural guide.

Your work helps people feel seen, supported, and accountable so the company can grow with stability and care.

What You'll Do

You will build and maintain the HR systems that keep a global team moving in sync. This includes:

  • Creating and updating HR systems, policies, workflows, and documentation.
  • Managing full recruitment pipelines for employees, contractors, and interns.
  • Overseeing onboarding, contracts, compliance, and offboarding.
  • Keeping HR databases, performance documentation, and personnel records accurate and updated daily.
  • Supporting compensation reviews, role clarity, org design, and workforce planning.
  • Partnering with team leads to guide communication norms, accountability expectations, and performance rhythms.
  • Providing coaching for early-career members who need support in reliability, communication, or confidence building.
  • Escalating early when professionalism or follow-through concerns arise.
  • Staying aware of global HR compliance across the US, PH, EU, and China.

Internship Program Management

You will run the daily operations of Ever Lasting's international internship program, shaping the experience from onboarding to graduation.

Your responsibilities include:

  • Coordinating onboarding, accountability systems, and feedback cycles.
  • Supporting leads with mentorship structures, goal tracking, and performance reviews.
  • Preparing weekly and monthly intern engagement and performance reports.
  • Guiding interns on communication habits, expectations, and workplace routines.
  • Managing alumni tracking, extensions, and pathways into long-term roles.
  • Identifying high-potential interns early and designing personalized development plans.
  • Building learning modules, reflection forms, and leadership-readiness projects.

Culture, Health, and Engagement

This role helps hold the emotional and cultural center of the team. You will:

  • Plan and facilitate remote team-building rituals and events.
  • Serve as a trusted point of contact for wellbeing, clarity, and workplace concerns.
  • Champion a culture grounded in empathy, accountability, and creative excellence.
  • Support members in confidence building, emotional resilience, and healthy independence.
  • Create reflective moments, check-ins, prompts, and health resources.
  • Identify moments of overwhelm and help teammates regain clarity and steadiness.

Systems, SOPs, and Cost Awareness

You will help build the backbone of our operations by:

  • Using Shopify, Gemini, ChatGPT, Google Workspace, Notion, Slack, and other tools daily.
  • Creating SOPs for recurring tasks, hiring flows, and team workflows.
  • Organizing internal documentation so the team can navigate resources easily.
  • Maintaining system adoption and ensuring tools are updated and clear.
  • Researching and recommending tools that save costs, time, and operational friction.

Reporting and Metrics

You will own key people metrics across the organization, including:

  • Hiring metrics such as Time to Fill and intern conversion rates.
  • Engagement scores, performance indicators, and development progress.
  • Onboarding completion rates for interns and employees.
  • Monthly and quarterly program summaries for leadership.

Cross-Team Collaboration

You will work closely with multiple teams to:

  • Prepare departments for new hires and ensure smooth onboarding.
  • Coordinate schedules with IPM, Social Media, Marketing, and other teams.
  • Join weekly syncs to spot blockers and offer support with clarity.
  • Resolve communication gaps and workflow breakdowns with neutrality and care.

Qualifications

  • 2 to 4 years of HR, recruitment, or internship program experience, ideally in creative or startup environments.
  • Strong written and spoken English.
  • High organization skills and comfort with documentation.
  • Familiarity with Google Workspace, Notion, and HR tools.
  • Awareness of US, PH, EU compliance, or willingness to learn.
  • Bonus: HR certifications like SHRM-CP, PHR, or local equivalents.

Compensation

Philippines (preferred): ₱40,000 to ₱55,000
, depending on experience and progression milestones.

Compensation follows a structured development framework, moving through phases as independence, accuracy, communication quality, and leadership readiness grow.
