Job Title: Admin Staff

Location: Quezon City

Reports to: Admin Assistant & Admin Manager

Employment Type: Full-Time

News Smart Formulae Trading Corp. is seeking an organized, detail-oriented, and motivated Administrative Staff member to join our team. In this role, you will provide essential administrative support to ensure smooth daily operations. You will also assist in coordinating office activities, maintaining records, and communicating effectively with internal teams and external partners.

As Admin Staff, your duties include the following:

  • Answer all incoming calls and logs received in the company.
  • Prepare and maintain all the documentation required for orders, delivery, and collection.
  • Receive, release, and log all billings and documentations dropped off by 3 parties doing business with the company.
  • Create, maintain, and monitor all documentation relating to marketing functions as required by the Marketing Team (e. g. letter of requests, price quotation, bidding documentation, call cards, starter dose, donation, samples, monthly/quarterly/annual sales, memos, etc.).
  • Audit all reports and documentation submitted by all company personnel.
  • Input data to the company computer software(s).
  • Assist the Admin Assistant in performing Human Resource functions such as scheduling of applicants for exam/interview and onboarding newly hired employees.
  • Organize all company files such as training materials, business permits, licenses, customer files, supplier files, all internally generated files, files submitted by company personnel, payments to suppliers and others.
  • Preparation and release of samples, starter dose, flyers, product shirts, acknowledgement receipts, promotional materials of the company. Responsible also for accepting returns of such items.
  • Organize and participate in assigned activities relating to the promotion of company products.
  • Assist Operations Team in making calls to customers to follow up deliveries and collection.
  • Create reports as requested by Company Management.

Qualifications:

  • Fresh graduates are free to apply. Senior high school graduate or graduate of any 4-year college course
  • Proven experience in an administrative role or office environment is an advantage.
  • Basic knowledge in accounting or book-keeping
  • Computer literate; proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
