Your Role
As an Estimator, you are responsible for:

  • Prepare accurate material and labour take-offs.

  • Complete takeoffs in the round plan and upload to JLT SharePoint

  • Read and interpret plans and scopes of work.

  • Assist with quote preparation and review for accuracy.

  • Ensure scopes align with quoted allowances.

  • Create and receive purchase orders for live jobs.

  • Assist with reconciling material costs in SimPRO.

  • Maintain lead and quote registers with status updates.

  • Create and manage quote/job folders, including plans, quotes, and emails.

  • Track quote conversion rates and key deadlines.

  • Log and track variations.

  • Issue additional quotes and update job costs.

  • Prepare job closeout cost reviews.

  • Assist with end-of-week and end-of-month invoice preparation.

  • Review the project and staff activity to ensure all works are billed.

  • Follow up on overdue invoices and liaise with clients for payments.

  • Download invoices from SimPRO and follow up with clients.

  • Draft and send follow-up emails to clients or the internal team.

  • Provide general administrative support, including staff scheduling, calendar coordination, and email follow-ups.

  • Raise staff-specific purchase orders as required.

  • Assist with maintaining and updating the staff schedule.

  • Ensure job allocations are clear and up to date.

  • Organise and maintain project files on SharePoint.

  • Ensure documents, forms, and job folders are structured and accessible.

  • Assist with managing file version control and naming conventions.

Required Skills & Attributes

  • Strong understanding of estimating, billing, and project workflows

  • High attention to detail, especially when working with numbers, plans, or financial data.

  • Familiarity with SimPRO, Groundplan (preferred).

  • Experience using Microsoft Office Suite (Excel, Outlook, Word) and SharePoint.

  • Excellent written and verbal communication skills.

  • Ability to self-manage, prioritise tasks, and meet deadlines consistently.

  • Reliable internet connection and a suitable home office setup.

Specific Deliverables

  • Accurate take-offs and POs supporting the estimator and operations teams.

  • Organised and current quote/job folders in SharePoint.

  • Weekly and monthly invoice drafts are ready for review.

  • Follow-ups completed on all overdue invoices.

  • Staff scheduling documents updated and distributed.

  • SimPRO records are regularly reviewed and maintained.
