ROLE SUMMARY
Our client is seeking a proactive and detail-oriented Sales Assistant to support their sales team. You will play a critical role in ensuring smooth sales operations, accurate bid tracking, client communications, and internal coordination.
This is an ideal role for someone who thrives in a fast-paced, client-facing environment and enjoys multitasking, organization, and supporting others to achieve collective goals.
WORK SCHEDULE: 6:00 AM – 3:00 PM Pacific Daylight Time (9:00 PM – 6:00 AM Philippine Standard Time), follows Philippine holidays
POSITION TYPE: Full Time
WORK ARRANGEMENT: Remote
ESSENTIAL FUNCTIONS:
- Perform the following sales support and client communication-related tasks:
- Assist in the preparation and submission of bids, proposals, and pricing quotes
- Follow up on pending bids and client inquiries to ensure timely responses
- Act as a liaison between clients and internal teams (sales, warehouse, operations)
- Support both Colorado and Arizona offices by coordinating with regional sales leads
- Maintain a positive and professional first impression with all customer interactions
- Perform the following documentation and data management tasks:
- Keep accurate records of client communication, bid status, and pricing in CRM and internal tracking systems
- Help prepare product presentations and sample kits for client meetings
- Organize digital and physical files to ensure easy access to documentation
- Perform the following internal coordination-related tasks:
- Work closely with operations, warehousing, and installation teams to align project timelines and delivery expectations
- Support scheduling of meetings, walk-throughs, and client site visits
- Track order fulfillment, ensuring materials are delivered accurately and on time
- Perform the following process improvement and reporting tasks:
- Identify process bottlenecks and recommend improvements to increase efficiency
- Assist in generating sales reports, tracking conversion rates, and analyzing bid win/loss data
- Perform the following administrative support tasks:
- Manage calendars, reminders, and follow-up tasks for sales representatives
- Route general inquiries and provide backup coverage during busy periods
- Ensure sample inventory is maintained and replenished as needed
QUALIFICATIONS:
- A bachelor's degree in the related field is preferred
- 2+ years of experience in sales support, project coordination, or administrative roles (construction or interiors industry preferred)
- Familiarity with construction timelines, product samples, or installation processes is a plus
- Proficiency with Microsoft Office Suite and CRM tools
- Strong written and verbal communication skills
- High attention to detail, with the ability to manage multiple deadlines
- Collaborative team player who enjoys helping others succeed
