The Technical Support Representative for Preventive Maintenance Services (PMS)

is responsible for ensuring the smooth operation of all PMS-related activities by

monitoring client schedules, assisting with technical inquiries, and handling customer

interactions. This role involves coordinating with both clients and internal teams,

managing documentation, and negotiating service renewals to retain and grow client

relationships. The role also includes monitoring field technicians and ensuring quality

service delivery.

Key Responsibilities:

Client Communication and Support:

 Client Advisories: Send regular advisories and reminders to clients

regarding upcoming PMS schedules, service reminders, and follow-ups on

service completion.

 Customer Assistance: Serve as the main point of contact for client concerns

related to Preventive Maintenance Services. Assist clients with inquiries,

provide troubleshooting support, and address any issues promptly.

 Client Retention and Negotiation: Actively engage with clients to promote

PMS offerings, negotiate renewals, and encourage them to continue or

upgrade their maintenance plans with VTSA International Inc.

 Client Calls: Conduct routine calls to clients to check their satisfaction with

PMS services and follow up on inquiries or requests related to their

maintenance needs.

PMS Documentation and Tracking:

 Documentation of 'Baby Book': Maintain and update the Baby Book, which

includes detailed service histories, technical reports, and client-specific notes

for each PMS project.

 PMS Schedule Monitoring: Oversee and monitor the schedule of clients'

PMS activities, ensuring that all services are completed on time and in

accordance with the agreed schedule.

 Record Keeping: Ensure that all documentation, reports, and updates

related to PMS activities are properly filed and stored for easy access.

Technician Coordination and Monitoring:

 Technician Activity Monitoring: Track and monitor field technicians' daily

activities to ensure they are meeting their schedules and client expectations.

Report any discrepancies or delays to the appropriate supervisors.

 Work Assignments: Assist in coordinating work assignments for technicians

based on the PMS schedule and ensure proper resource allocation for each

project.

 Feedback and Reporting: Collect and document feedback from technicians

regarding client interactions and any technical challenges encountered during

service visits.

Additional Responsibilities:

 PMS Performance Reporting: Prepare and submit regular reports on the

status of ongoing PMS activities, client retention efforts, and technician

performance to the PMS Manager.

 Client Satisfaction Surveys: Conduct periodic client satisfaction surveys

and analyze feedback to identify areas for improvement in PMS service delivery.

 Internal Collaboration: Work closely with the Sales, Marketing, and

Technical teams to ensure seamless coordination and communication regarding

PMS client needs.

 PMS Marketing Support: Assist the Sales and Marketing team by providing

technical insights into PMS offerings that can be used in marketing materials and

client presentations.
