Job Summary:

The Project Operations Coordinator is responsible for ensuring smooth execution of projects from initiation to completion. This role involves coordinating with clients, suppliers, installers (EPCs), and internal teams, managing documentation, handling procurement processes, and supporting operational workflows to ensure timely and efficient project delivery.

Key Responsibilities:

  • Compile and manage client documents for project applications (CARF) and approvals.
  • Coordinate with suppliers (e.g., Ian Solar) regarding stock availability and procurement needs for projects.
  • Create and manage Purchase Orders (PO), Extra Materials Lists, External Procurement Forms, and Delivery Receipts.
  • Prepare Bank Referrals for clients as required.
  • Draft and issue quotations for projects.
  • Coordinate project timelines and execution, ensuring alignment between clients, EPCs/installers, suppliers, and delivery services.
  • Collect, organize, and maintain client documents related to projects, including contracts, IDs, land titles, and post-dated checks (PDCs).
  • Update and maintain data tracking sheets to monitor project progress and documentation status.
  • Handle client and EPC concerns, troubleshoot issues, and ensure timely resolution.
  • Create Installation Fee Release Application Forms for EPCs upon project completion.
  • Process EPC reimbursements and manage related documentation.

Qualifications:

  • Bachelor's degree in Business Administration, Operations Management, or related field preferred.
  • Proven experience in project coordination, operations support, or administrative management.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project tracking tools.
  • Ability to multitask, prioritize, and work under tight deadlines.
  • Knowledge of procurement processes and documentation management is an advantage.

Remark: Applicants must be willing to undergo a two (2)-month training in Bonifacio Global City (BGC), with a transportation allowance provided. The Quezon City office will start operations in April 2026.
