Logistics & Order Management Associate

ROLE OVERVIEW

We are looking for a Remote Operations Associate to be part of our team.

He/She is responsible for supporting order management and logistics for our U.S. distribution network, ensuring the seamless execution of order fulfillment, compliance documentation, and data management processes. This role involves processing orders, managing compliance in state-mandated systems, and maintaining accurate data across internal platforms.

He/She plays a critical role in enabling our sales and distribution teams to operate efficiently and will be the first member of our offshore operations team.

MAIN RESPONSIBILITIES

He/She shall perform duties and responsibilities including, but not limited to the following:

Order Fulfillment and Management

• Process and fulfill daily orders in Canix, ensuring all required information is complete for the distribution team to pack and ship accurately.
• Track and verify order completion and resolve discrepancies in coordination with the fulfillment team.
• Support drivers and dispatch during deliveries by assisting with in-transit order edits (e.g., mispacks, term changes, customer requests).

Metrc Compliance & Transfer Creation

• Create and manage outgoing transfers in Metrc, ensuring compliance with New York State seed-to-sale regulations.
• Verify package details, lab results, and inventory accuracy prior to transfer creation.
• Maintain clear, accurate digital records of all Metrc activity, including manifests and acknowledgments.
• Collaborate with the operations team to resolve Metrc discrepancies quickly and accurately.

Documentation and Customer Support

• Prepare and send delivery documentation and invoices to retailers prior to shipment.
• Maintain organized digital records of all documents, including invoices, manifests, and delivery confirmations.
• Communicate clearly with internal teams and customers regarding delivery updates or documentation issues.

Data Entry and System Maintenance

• Manage and update product listings, pricing, and customer profiles in internal systems and order management platforms.
• Support setup of new accounts and ensure data integrity across CRM and inventory tools.
• Assist in tracking key operational metrics, including order accuracy and fulfillment timelines.

Cross-Functional Support

• Collaborate with the U.S.-based operations and sales teams to identify and resolve workflow gaps.
• Provide feedback and process improvement suggestions to enhance operational efficiency.
• Participate in virtual team meetings and report weekly progress to management.

Administrative Work

• Maintain accurate records of all processed orders, fulfillment documents, and communications.
• Update order and inventory databases daily to ensure data reliability.
• Prepare simple operational reports and summaries for leadership review.
• Document standard operating procedures (SOPs) as the offshore team grows.

REQUIREMENTS

• Minimum of 2 years of experience in operations, logistics, administrative support, or related functions.
• Background in logistics & distribution
• Strong attention to detail and accuracy, especially in data entry, documentation, and compliance workflows.
• Excellent written and verbal communication skills in English.
• Proficient with Google Workspace, Excel/Sheets, and cloud-based operations software.
• Comfortable learning and using new platforms; experience with Canix, Metrc, or other inventory/order management systems is highly preferred.
• Proficiency with Slack or is strongly preferred.
• Familiarity with CRM systems or e-commerce operations tools is a plus
• Must be flexible to work night shifts (subject to change)
• Must be available to work on-site at Zeta Tower, Bridgetowne.
