Job Summary

The Accounts Payable Associate is responsible for processing vendor invoices, managing payments, and keeping accurate financial records. The role helps ensure compliance with company policies, supports smooth financial operations, and maintains good relationships with vendors and internal teams.

Key Responsibilities

1. Invoice Validation & Processing

  • Receive, review, and verify supplier invoices and payment requests.
  • Match invoices with purchase orders, delivery receipts, contracts, and supporting documents.
  • Ensure proper approvals are obtained and documentation is complete.

2. Documentation & Coordination

  • Prepare payment request packages and submit them to Treasury for execution.
  • Maintain accurate and organized records of invoices and payment requests.
  • Track payment status and follow up with Treasury on pending disbursements.

3. Reconciliation & Reporting

  • Reconcile vendor statements and resolve discrepancies.
  • Monitor accounts payable aging and escalate overdue items as necessary.
  • Assist in month-end closing and prepare required reports.

4. Vendor & Internal Communication

  • Respond to vendor inquiries regarding invoice status and payment schedules.
  • Coordinate with Procurement, Receiving, and Treasury teams to resolve issues.
  • Build and maintain positive relationships with suppliers and internal stakeholders.

5. Compliance & Audit Support

  • Ensure adherence to internal controls, company policies, and financial procedures.
  • Provide required documentation and support during internal and external audits.
  • Stay informed on regulatory requirements related to accounts payable.

6. Other Functions

  • Assist with ad hoc tasks and projects as assigned by management.

Qualifications

  • Bachelor's Degree in Finance, Accountancy, Banking, or equivalent (CPA or audit/tax exposure is a plus).
  • Fresh graduates are welcome; at least 1 year of experience in Accounts Payable, General Accounting, Finance Operations, or External Audit is an advantage.
  • Basic understanding of accounts payable processes (invoice validation, documentation, reconciliation).
  • Familiarity with Philippine tax regulations (e.g., VAT, EWT, BIR Form 2307).
  • Proficient in accounting software (preferably SAP) and MS Office applications (Excel, PowerPoint); exposure to business intelligence tools is an advantage.
