Position Responsibilities

Position Responsibilities:

The Vendor Master Data Analyst is responsible for managing vendor setup and change requests in accordance with Deltek's internal controls and compliance policies. This role ensures the accuracy, completeness, and integrity of vendor master data across systems such as Deltek Costpoint and Smartsheet, supporting procurement, finance, and audit functions.

Vendor Set up, Change Requests, and Validation:

• Review vendor set up and change requests submitted via Smartsheet forms for completeness and required documentation.

• Set up vendor profile and validate all attributes against supporting documents presented in accordance with Deltek Global Vendor set up and Accounting policy

• Conduct two-step verification for ACH/wire setup, including verbal or call confirmation and challenge questions:
• Verify vendor identity through supporting documents (e.g., W-9, W-8, bank letter, voided check)
• Ensure all setup requests are processed within three (3) business days if the documentation is complete
• Maintain evidence of confirmatory procedures and ensure monthly completeness checks
• Engage with the AP Manager to address any concerns and ensure that any unusual circumstances are appropriately escalated.

• Ensure vendor data complies with Deltek's internal policies and external regulations
• Performs regular vendor master data maintenance and clean up
• Maintain audit-ready documentation and support internal/external audits
• Monitor and report on data accuracy, completeness, and turnaround times

• Ensure that customer relationships are maintained, and that transaction processing and problem resolution are meeting SLAs
• Communicate with requestors and escalate as needed, regarding incomplete submissions and required corrections
• Collaborate with procurement, finance, and compliance teams to align vendor data standards
• Provide guidance on vendor setup procedures and documentation requirements

• Support transformation and/or continuous improvement of in-scope processes,
• Maintain SOPs and job aids for vendor master data processes
• Identify opportunities to streamline workflows and improve data governance
• Participate in system upgrades and automation initiatives related to vendor data management

Qualifications

• Bachelor's degree in Finance and Accounting, or related field
• 0–2 years of experience in vendor master data management
• Experience working in a Shared Services environment
• Strong understanding of vendor onboarding, payment terms, and banking verification protocols
• Strong communication skills to effectively coordinate and engage with vendors via phone call to gather, clarify, and document requirements for vendor setup processes
• Open to working flexible hours across the US, EMEA, and APAC regions to ensure seamless support for both internal stakeholders and vendors
• Familiarity with Smartsheet, ERP systems, and compliance frameworks (SOX)
• Excellent attention to detail and stakeholder management
• Experience in interfacing with business operational customers and performing to a service level agreement
• Ability to utilize metrics to identify opportunities for service improvement
• Ability to handle multiple tasks concurrently and adhere to strict deadlines
• Strong computer skills: Proficiency in Excel
