About the Client:
The client is the Principal Broker/Owner of multiple business ventures, including a Staffing Agency and a Real Estate Brokerage. He is currently launching a third, high-priority venture: an AI Agency.
He is a decisive entrepreneur who is rapidly growing his businesses and is seeking a long-term, strategic Virtual Assistant to act as an operational partner. Having had challenging experiences with previous VAs, he is looking for a highly capable, proactive, and tech-savvy individual to take immediate ownership and drive operational efficiency across all three businesses. The core mission of this role will be to leverage the new AI Agency's capabilities to perform the "heavy lifting" for the staffing and real estate operations, streamlining and automating processes.
The businesses are focused on the U.S. market, with the staffing agency having a historical focus on military personnel (though the new VA will not be required to have military-specific contacts).
About the Role:
The client seeks a highly skilled, proactive, and independent AI Operations Manager to serve as a versatile "wingman" and partner.
This is a critical, long-term, full-time position requiring a results-oriented professional to manage and drive operational support across three parallel business ventures: the AI Agency (Primary Focus), the Staffing Agency, and the Real Estate Brokerage.
The ideal candidate must be a self-starter, capable of hitting the ground running and immediately taking ownership of projects, particularly the launch, setup, and day-to-day operations of the new AI venture. This role demands exceptional versatility and a specialist understanding of how to position and leverage AI tools to automate and streamline core business functions across the client's ecosystem.
Key Responsibilities
AI Agency Launch & Management (Primary Focus)- Launch and run the new AI agency venture, including foundational setup, marketing, and client outreach (e.g., cold email campaigns).
- Independently manage operational tasks related to AI tools and services.
- Strategically position the AI agency to perform "heavy lifting" tasks for the other two businesses (staffing and real estate) to bridge operational gaps and automate tasks like cold calling and lead management.
- Develop and manage internal AI applications, such as an AI receptionist or chatbots for the client's websites.
- Facilitate business for other companies that are not AI-savvy by deploying the agency's services.
- Manage outreach campaigns and cold email campaigns.
- Assistant with handling administrative and operational tasks for the broker.
- Manage the integration of AI tools with lead generation platforms (like Voltrail) and organize offers.
- Manage and organize office communications and scheduling.
- Act as a proactive partner to the owner, identifying and delegating tasks to "move the needle" for all three businesses.
- Manage communication across multiple platforms and maintain business accountability.
Qualifications & Skills
- Experience: Proven experience in a proactive, independent operational or executive support role. Prior experience in recruiting/staffing and/or real estate administration is an advantage, but deep technical proficiency in AI is paramount.
- Education: College degree highly preferred.
- Technical Proficiency (Crucial): Highly tech-savvy with the ability to quickly adapt to and implement new technologies, especially as a specialist in the AI/Automation space.
- Mindset: Must possess a proactive, independent, and entrepreneurial mindset. The candidate should require minimal supervision and be focused on delivering results and growth.
- Communication: Excellent English fluency (written and verbal) is mandatory for effective communication with U.S.-based clients.
