We are looking for an Organization Support Staff

GENERAL RESPONSIBILITIES

Provision of assistance in logistics management

  • Manages office calendar including all meetings, trainings, events, etc.
  • Facilitates and coordinates booking of logistical requests and requirements (i.e. hotel or room reservations, travel arrangements, vehicles and gate passes, food orders) with concerned offices during normal operations and in emergency situations.
  • Facilitates, coordinates the availability and usage of AV/technology equipment and materials.

Provision of assistance in records management

  • Monitors and consolidates the organization's corporate required submissions (Corporate Governance, Data Privacy, COREC, etc.).
  • Assists in meeting minutes documentation, submission and filing.
  • Prepares memos, reports, presentation materials and other correspondences assigned.
  • Gathers data and records for filing and archiving.
  • Develops and maintains the organization's database/s and safe-keeping of records.

Provision of assistance in internal process management

  • Prepares, submits and files documents required for internal processes (i.e. liquidation,
  • reimbursement, etc.).
  • Advises other employees regarding internal process requirements and contact persons.
  • Assists in the access or usage of internal systems for execution of internal processes.
  • Coordinates with internal and/or external offices regarding other employee or process concerns.
  • Participates in various cross-functional committees as representative of the organization.

QUALIFICATIONS

  • A graduate with a Bachelor's degree in Business Administration, Business Management, Office Administration, or any related field
  • Has good communication skills in English and Filipino
  • Good problem-solving skills and in gathering and processing information
  • Ability to quickly adapt and learn new technologies
  • Willing to work onsite (Ortigas, Pasig)
  • Amenable for a fixed-term employment for 2 years
