About the Role – Procurement and Facilities Officer

As a Procurement and Facilities Officer, you will play a vital role in ensuring Salmon's offices and branches run smoothly. You will be responsible for sourcing quality goods and services, managing supplier relationships, overseeing facilities upkeep, and ensuring compliance with all regulatory and internal standards.

Main Responsibilities

Procurement of Goods & Services

  • Source, evaluate, and negotiate with suppliers to secure quality goods/services at competitive prices.
  • Prepare and process purchase orders and requisitions in line with company policies.

Supplier Management & Due Diligence

  • Conduct due diligence checks on new and existing suppliers (background, compliance, performance).
  • Maintain and update supplier database, regularly monitoring performance.

Contract & Cost Management

  • Negotiate contract terms and conditions.
  • Monitor budgets, track spending, and identify opportunities for cost savings.

Facilities Maintenance & Oversight

  • Coordinate maintenance, repairs, and upkeep of offices and branches.
  • Ensure facilities comply with health, safety, and regulatory requirements.
  • Manage renewal and updating of business permits, licenses, and compliance documents.

Vendor Coordination & Relationship Management

  • Build strong relationships with contractors and service providers.
  • Resolve supplier or service-related issues promptly and professionally.

Asset & Inventory Management

  • Oversee tracking, storage, and distribution of office supplies, equipment, and assets.
  • Ensure accurate and up-to-date inventory records.

Compliance & Documentation

  • Ensure procurement and facilities activities comply with internal controls, audits, and company policies.
  • Maintain organized records of purchases, contracts, inspections, and maintenance schedules.

Project & Operational Support

  • Provide procurement/facilities support for expansions, relocations, or special projects.
  • Coordinate logistics and procurement for audits and operational initiatives.
