A Front Desk Associate in a dental clinic is responsible for delivering excellent patient service, managing administrative tasks, and ensuring smooth daily operations. This role serves as the first point of contact for patients and requires strong communication, organization, and multitasking skills.


Key Responsibilities

Patient Service & Reception

  • Greet patients warmly and check them in for appointments.
  • Verify patient information, update records, and obtain required forms or signatures.
  • Answer phone calls, respond to inquiries, and schedule appointments.
  • Provide patients with information about procedures, insurance, and treatment plans (within scope).

Scheduling & Coordination

  • Manage the appointment calendar and optimize scheduling for efficiency.
  • Confirm upcoming appointments and handle cancellations or rescheduling.
  • Coordinate patient flow between the waiting area, clinical staff, and treatment rooms.

Insurance & Billing

  • Verify insurance eligibility and benefits prior to visits.
  • Collect co-pays, deductibles, and outstanding balances.
  • Assist with processing insurance claims and posting payments.
  • Explain billing information and patient financial responsibilities when appropriate.

Administrative & Office Duties

  • Maintain a clean, organized front desk and lobby area.
  • Handle incoming and outgoing mail, emails, and faxes.
  • Prepare daily reports, end-of-day summaries, and deposit logs.
  • Ensure compliance with HIPAA and office confidentiality policies.
  • Assist with inventory of office supplies and forms.

Skills & Qualifications
  • High school diploma or equivalent required; additional training in healthcare administration is a plus.
  • Experience in a dental or medical office preferred.
  • Knowledge of dental terminology, insurance codes, and treatment workflows is beneficial.
  • Proficiency with dental office software (Dentrix, Eaglesoft, Open Dental, etc.).
  • Excellent communication, customer service, and conflict-resolution skills.
  • Strong organizational ability and attention to detail.
  • Comfortable multitasking in a fast-paced environment.
