DUTIES & RESPONSIBILITIES

1. Cashiering and Collection

  • Receive payments for vehicle purchases, parts sales, and service jobs through cash, checks, or online transfers.
  • Issue collection receipts and ensure accuracy of details (customer name, invoice number, and amount).
  • Verify payment against Sales Invoice (SI), Delivery Receipt (DR), or Job Order (JO) prior to acceptance.
  • Maintain daily cash collections and ensure secure custody until deposited.
  • Manage petty cash fund for operational disbursements and ensure timely replenishment with complete liquidation.

2. Deposits and Fund Management

  • Prepare and deposit daily collections to the company's bank accounts.
  • Reconcile deposited amounts with system reports and daily cash summaries.
  • Monitor post-dated checks and ensure timely clearing and deposit.
  • Coordinate with the Treasury Supervisor regarding fund requirements and branch cash positions.

3. Disbursement and Payment Support

  • Process approved requests for payment (e.g., supplier payments, reimbursements, refunds).
  • Ensure completeness and validity of supporting documents before releasing funds.
  • Record all disbursements accurately and maintain proper documentation

4. Reporting and Reconciliation

  • Prepare and submit daily collection reports, deposit slips, and summary of transactions to Treasury/Accounting.
  • Assist in reconciling cash on hand vs. system reports and bank statements.
  • Support month-end closing activities by providing updated cash and collection reports.
  • Report any cash shortages, discrepancies, or irregularities immediately to the supervisor.

5. Compliance and Internal Control

  • Follow strict cash handling, control, and documentation procedures.
  • Safeguard cash, checks, and confidential documents at all times.
  • Report any cash discrepancies, shortages, or irregularities immediately to management.
  • Cooperate with internal and external auditors during reviews or spot checks.

JOB QUALIFICATIONS:

Education : Bachelor's Degree in Accounting, Finance, or Business Administration.

Work Experience    : At least 1–2 years of relevant experience in treasury, cashiering, or accounting, preferably in the automotive dealership or retail industry.

Required Skills       :

  • Knowledgeable in cash management, banking transactions, and basic accounting principles.

  • Proficient in MS Excel and experienced with Dealer Management Systems (DMS) or accounting software.

  • Strong sense of integrity, confidentiality, and accountability.
  • Excellent attention to detail, organizational, and communication skills.
