JOB SUMMARY:

The Event Associate Intern will assist in planning, coordinating, and executing various events, ensuring each is executed efficiently and successfully. This role involves administrative, logistical, and on-site support and requires excellent organizational, communication, and problem-solving skills.

DUTIES & RESPONSIBILITIES:

Event Coordination

  • Assist in planning and executing events, including meetings, conferences, trade shows, product launches, and social events.
  • Coordinate event logistics, such as vendor management, equipment rentals, venue setup, and audiovisual requirements.
  • Ensure compliance with timelines and budgets.

Administrative Support

  • Maintain event documents, including timelines, contact lists, and run-of-show schedules.
  • Prepare and distribute event materials, such as invitations, agendas, and signage.
  • Assist in tracking expenses and reconciling budgets.

Vendor and Client Communication

  • Liaise with vendors, sponsors, and other stakeholders to confirm event details and requirements.
  • Serve as a point of contact for client inquiries and requests during event planning and execution.

On-Site Event Support

  • Assist with event setup, registration, attendee management, and tear-down.
  • Provide on-site support to ensure smooth operations and address any issues that arise.
  • Monitor event flow and resolve unforeseen challenges promptly.

Post-Event Analysis

  • Gather feedback from attendees, vendors, and stakeholders.
  • Assist in preparing post-event reports, including key learnings and recommendations for future events.
  • Organize and archive event materials and documentation.
